Position Summary The primary focus of the Executive Office Administrator for the Carolina Union is to serve as the initial point of contact for incoming telephone calls and guests to the Administration and Event Services offices responding and referring individuals, as appropriate. Reporting to the Executive Director of the Carolina Union, the Executive Office Administrator provides direct administrative and budget support to the Administration, Communication and Creative Services, and Event Services offices, as well as coordinates the general office calendar and provides administrative support for core programs and services for the office and the Event Services team. The position works collaboratively as a member of support staff. This position must be familiar with the operating procedures for each of the offices located in the Carolina Union, provide research, technological and administrative support. Additionally, this person will be expected to regularly write correspondence, create reports, and supervise student Office Assistants. Minimum Education and Experience Requirements High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. Required Qualifications, Competencies, and Experience Strong written and verbal communication skills including ability to effectively receive and share accurate, appropriate information with students, faculty, staff, parents / families, community partners and office colleagues. Demonstrated ability to work in fast-paced environment with the ability to balance and prioritize multiple tasks simultaneously with appropriate sensitivity. Understanding of and experience applying basic budget and finance principles. Exceptional listening skills and the ability to respond to challenging situations in a calm and deliberate manner. Commitment to maintaining confidentiality and handling sensitive information in a discrete and appropriate manner.
