Executive Secretary, Credentialing

The Executive Secretary is responsible for maintaining active status for all providers by successfully completing initial and subsequent credentialing and privileging as required by MyCare policy.
This position is also responsible for maintaining all provider files for network compliance by completing initial and subsequent credentialing and ensuring all credentialing records comply with regulatory and accrediting standards.
In addition to credentialing and privileging activities, this position will provide support to the Administrative Office management staff, including the Executives.
They must be professional and enjoy working within a small office environment with a mission-driven and community-oriented mindset.
The ability to exercise good judgment in a variety of situations, with strong written and verbal communication skills, organizational skills, and the ability to maintain a realistic balance among multiple priorities is required along with demonstrated ability to work independently on projects from inception to completion, and working well under pressure.
Confidentiality of work and professional discretion are required of all MyCare staff.
Occasional scheduling flexibility including working outside of traditional business hours may be required to meet agency needs.


SPECIFIC DUTIES: Roster providers in CAQH, and other plan required sites, including initial and ongoing maintenance (re-attestations, tracking and updating expiring credentials); Review and ensure credentialing and privileging files are completed and accurate, working directly with human resources and providers. Compile privileging binders for review/approval. Ensure MyCare facilities and providers are credentialed, and re-credentialed properly with Medicare, Medicaid, and commercial plans according to each payors individual requirements and addresses/corrects discrepancies as requested by payors and Revenue Cycle Manager; Conduct all follow-up steps until payor approval/completion is obtained; Address enrollment disconnects in regards to facilities and providers; Prepare customized reports showing provide par status and application progress, facility and provider plan effective and term dates, and plan assigned ID number(s) Build a relationship with plan representatives and keep organized files of completed documentation. Monitor staff credentials and licenses. Prepare agenda, corresponding documents, and minutes for various meetings. Assist with scheduling meetings for Executive and management staff. Assist with procurement process per policy, including request for proposal generation, summarization, and presentation. Assist with Agency Events. Prepare and maintain a variety of document types in Microsoft Office for reporting, tracking, budgeting, and other needs as identified by management. Provide support and assistance to the Executive Staff on various projects as requested and directed. Support the administrative team as needed and directed by the CEO. Light office cleaning and supply ordering and stocking as needed. Other duties as required.
KNOWLEDGE, SKILLS, AND ABILITIES: Must demonstrate excellent interpersonal skills and team-building skills; Must have excellent decision-making skills, and attention to detail is imperative; Professional written, verbal and listening communication skills; Excellent computer skills including expert knowledge of Microsoft Office suite and Outlook; Database management proficiency required; data entry skills required; High functioning stress management, time management, and critical thinking skills are necessary for success in this role; Federally Qualified Health Center experience preferred, but not required.
PERSONAL ATTRIBUTES: Must maintain strict confidentiality in performing the assigned duties. Must be honest and trustworthy, respectful of others. Must be flexible and possess cultural awareness and sensitivity.
MINIMUM QUALIFICATIONS: High school or GED required, post-secondary education in General Business or Health Care preferred. Provider credentialing and re-credentialing knowledge preferred, but not required. Previous experience in an administrative role is preferred. Excellent verbal and written communication skills, attention to detail and high level of customer service skills. Must be able to communicate effectively.
