As a rapidly growing organization, we are looking to add an Entry Level team member in a Facilities Coordinator to support our Real Estate Development team. The Facilities Coordinator will report to the Facilities Manager, and work with the Development Team on procurement, maintenance work completion, real estate maintenance contract administration, lease administration and other administrative tasks. The ideal candidate is highly organized, willing to help with many varied tasks, has a desire to learn and is passionate about our mission.
\n Essential Duties and Responsibilities: CoordinationAssist Development team with special projectsAssist Development team with all aspects of maintenanceContract and prioritize work requests in the work order system.Close out work orders in a timely mannerFollow up with end users to ensure satisfactory completion of work ordersParticipate in weekly team meetingsAssist Facilities Manager and Development team in new clinic openingsOversee, manage and/or perform other property management functions required of the position and assigned project(s) Essential Duties and Responsibilities: Lease AdministrationManage all service contract requests and renewalsManage existing lease requirements.Maintain spreadsheets to track all current contractsMaintain current and complete certificate of insurance for all locationsReview all limits, coverage types, expirations, and additional insured for complianceRegularly communicate with landlords to address facility related issues Essential Duties and Responsibilities: Vendor ManagementIdentify reliable vendors for various maintenance and repair needsMaintain spreadsheets to track all current vendors and their outstanding itemsMaintain current and complete certificate of insurance for all vendorsCoordinate and schedule repair activities to minimize disruptions to our servicesObtain quotes for new services and track maintenance expenditures Essential Duties and Responsibilities: ProcurementParticipate in bid process when searching for new vendors and service providersTrack & schedule FF&E install datesParticipate in bid process when searching for new vendors and service provider Qualifications and Experience:Experience in property management, real estate, or construction project managementStrong familiarity with lease provisions and lease administration a plusProficient in MS Office (Word, Excel, PowerPoint, Outlook) a mustExcellent verbal and written communication skillsHighly organized, structured thinker who lives for the details, and thrives in the weedsUnwavering focus on customer service, delivering an exceptional experience to both internal customers and stakeholdersResilience in pursuing projects until completion; able to push for outcomes respectfully and professionallyClear written and verbal communication and strong interpersonal skills
