What you will do for Harris County Precinct 4 (HCP4)
In the core of HCP4's government efficiency, you'll find the Finance, Strategy, and Performance (FSP) team.
This dedicated team oversees budgets, manages procurement, and champions performance measures.
They work tirelessly to promote fiscal responsibility and bolster Precinct 4's data-driven strategies.
The Administrative Assistant will play a key role in providing essential administrative support to the Chief Financial Officer (CFO) within the FSP Division.
This position involves collaborating with the Director of the Office of Strategy & Performance and the Director of Finance while acting as a liaison with senior staff, partners, and internal team members.
Job Duties and Responsibilities:
The duties listed below are intended only as illustrations of the various types of work that may be performed.
* Administrative Support: Provide comprehensive administrative assistance to the CFO, including managing correspondence, scheduling appointments, and organizing files.
Ensure smooth and efficient operations within the FSP Division.
* Meeting Coordination: Schedule and coordinate meetings, prepare agendas, and handle logistics.
Take meeting minutes and track action items to ensure timely follow-up and completion.
* Project Assistance: Support the CFO and FSP leadership with various projects by tracking progress, organizing resources, and facilitating communication among team members.
* Communication Management: Serve as a point of contact between the CFO and internal/external stakeholders, ensuring effective and professional communication.
* Calendar Management: Manage the CFO's calendar, scheduling meetings, and prioritizing appointments to align with the organization's goals.
* Office Systems Maintenance: Develop and maintain efficient office systems and procedures to streamline operations and support the CFO and team.
* Special Tasks: Assist with special projects as assigned by the CFO, focusing on administrative tasks and project support.
* Other duties: Performs all other duties as assigned.

Requirements
Education:
* Bachelor's degree from an accredited college or university
Experience:
* Two (2) years of professional work experience as an administrative assistant or similar role
Comparable combination of education, training and/or experience may substitute for education on a year-for-year basis
Requirements:

Knowledge, Skills and Abilities:
* Skilled in MS Office 365 (Outlook, Word, Excel, PowerPoint, TEAMS, SharePoint, etc.)
and of software to manage portable document format files (Adobe Acrobat).
* Strong organizational skills; effectively prioritize and manage multiple tasks/initiatives,
* Excellent oral and written communications skills.
* Maintain high level of integrity, confidentiality, ethical standards - assumes personal responsibility for scope of position.
* Enjoys building and maintaining relationships with staff and has demonstrated ability to engage and convene diverse stakeholder groups.
* Self-starter and independent but works collaboratively.
* Values continuous learning and seeks ongoing training and development.

Work Environment and Physical Demands:
* This position requires a significant amount of time outdoors and exposure to a variety of environmental and extreme weather conditions.
This position also requires traveling to parks located throughout the precinct and at long distances.
The ability to work outdoors during all seasons and to drive safely is essential.
The ability to operate standard office equipment and software platforms is required.
* Essential functions involve significant physical demands related to repeated lifting of up to 50 pounds unassisted, 100 pounds with assistance rarely; carrying tools, materials, and equipment over rough terrain; climbing, reaching, and bending.
Frequently to walk, sit, talk, drive, hear, bend, stoop, twist, and balance.
