Presbyterian Homes & Services Foundation is seeking a Foundation Specialist for its team. The Foundation Specialist is responsible for deadline-driven special projects, record and gift management activity including prospect data entry, gift entry processing and gift acknowledgement processing, creating new donor records, record updates, database projects, report generation, and special appeals. The Foundation Specialist will also participate in ongoing training of new technology, including DonorPerfect, Aline, Lexis Nexis, Point Click Care, etc., and will contribute to the training of new Foundation members. Reporting Structire: The Foundation Specialist reports to t he Operations and Gift Processing Manager and functions as a team member. The Foundation Specialist works collaboratively with Foundation staff, Management & Services staff, Site Leaders, and functional directors of assigned areas of accountability.
Ensure the accuracy and integrity of the Foundation's information systems, including data input and output and managing detailed database donor records in order to maintain record integrity within Donor Perfect. Ability to create records for resident move-ins, update resident records with changes, and to record DOD when missing. Perform gift processing (nearly full-time during November and December), including credit card gifts, and the gift acknowledgement process with accuracy and attention to detail; should be involved on weekly basis since this position serves as back-up to FT gift processing manager. Ability to identify potential problems with data or donor record(s) and willingness to know when to ask questions. Maintain an ongoing comprehensive understanding of IRS gifting rules to ensure all gifts are processed within regulatory compliance. Audit letterhead/envelope inventory and order as needed to cover peak seasons of the year. Monitor and open daily mail, photocopy donation checks to ensure gifts are ready for review and, coding, to ensure gifts are ready for gift entry the next day. Perform duties necessary to manage gift processing and gift acknowledgement during peak production seasons (October thru January), which includes managing assigned communities/ regions and/ or delegated gift types. Actively participate in month-end and annual reconciliation with Finance; ensure that all donor gifts are accurately processed, tracked, acknowledged, and reconciled. Serve as back-up to Gift Processing Manager during PTO and other absences and provide gift coding when needed. Provide assistance with database clean-up and identify ongoing opportunities for improvement. Manage special projects, meet deadlines, manage campaign spreadsheets, and customized appeals with accuracy; working closely with VP of Foundation, and Gift Processing and Operations Manager, provide assistance as needed on unique donor projects. Identify missing record information within DonorPerfect to ensure data integrity. Identify major gift prospects through record development and gift entry to provide pipeline of potential donors for gift planners in collaboration with Research Manager. Manage new resident Foundation Welcome letter process and appropriately tag records accordingly. Provide assistance with creating new hard copy donor files and willingly participate in filing donor information. Ensure that new Hospice records are created in a timely fashion and provide assistance with direct mail solicitations of these families. Provide support to colleagues in a complex annual giving model, in-house mailing projects, customized appeals, Annual Statement letters, the annual Joy/Legacy Society lunch, and other projects identified by VP of Foundation. Provides support to Foundation staff members by assisting with the creation of reports and database information, sending collateral, and problem solving. Serve as point of contact for Foundation staff members with record changes, questions, or problems with donor record. Responsible for preparing reports as needed, generating lists, and providing input on donor results. Actively participate in weekly Foundation Operations Team meeting and other Foundation meetings, provide support at donor gatherings, and assist others as needed. Promote continuous self development and growth. Exhibit technical competence by being familiar with and ensuring compliance with regulations and established best practices within fundraising. Maintain current knowledge of community resources and organization and industry policies and practices. Use discretion and independent judgment to compare and evaluate possible courses of action and decision-making. Support the PHS spiritual programming; reinforce the Christian heritage and culture through communications; recognize the importance of spiritual matters to customers and employees. Other areas as identified to support aligned goal setting and achievement as driven by the Vice President of the Foundation and Operations Manager. B.A. or B.S. degree required. Previous experience working in a fund development environment; familiarity and basic understanding of major, planned giving, and/or annual giving desired. Previous experience working with a complex database (DonorPerfect, Raiser's Edge, NXT, Sales Force) or another similar software application required. Previous experience using a donor search tool or Point Click Care, Aline, and Lexis Nexis preferred. Results oriented and an eye for detail accuracy necessary in this role. Experience with gift processing and the gift acknowledgement process is desired. Commitment to learning fund development and utilizing DonorPerfect. Familiar and proficient with Microsoft Office applications; demonstrated knowledge of computer software applications such as spreadsheets, documents/reports, database projects, letter merge, desktop publishing and project management. Experience creating and managing complex spreadsheets desired. Strong process and project management skills including working as a collaborative team member. Ability to manage multiple projects simultaneously, meet deadlines, and remain flexible. Must have excellent written, verbal, and interpersonal communication skills. Ability to collaborate and work effectively with colleagues and other employees of PHS. Demonstrated leadership ability including the ability to master reports and lists from DonorPerfect   and donor records. Documented history of achievement and professional growth. Demonstrated leadership in previous positions and ability to embrace change; willingness to grow professionally. Excellent interpersonal, communication, and organizational skills. Sound judgment and knows when to ask questions; ability to inspire confidence among colleagues as well as external constituents. Demonstrated ability to read, write, speak, and understand the English language to communicate with all customers.
