POSITION SUPERVISES: None
POSITION PURPOSE:
Promote the mission of AYW in a polite and professional way. Greet and answer inquiries and provide
information to the general public, customers, visitors, and other interested parties regarding activities
conducted at American YouthWorks and its programs within the organization
ESSENTIAL FUNCTIONS AND BASIC DUTIES:
Under the direct supervision of the YouthBuild Austin Participant Coordinator, the Front Desk Intern will
perform the following functions:
1. Operate telephone to answer, screen, or forward calls, providing information, taking messages,
or scheduling appointments;
2. Greet persons entering establishment, determine nature and purpose of visit, and direct or
escort them to specific destinations;
3. Check voicemails and return calls or route to appropriate personnel;
4. Visitors are checked-in and out by signing the visitor log;
5. Issue and collect "Visitor" badges upon their arrival and departure;
6. Transmit information or documents to customers, using computer, mail, or facsimile machine;
7. Create and maintain files and file documents in member files;
8. Maintain member timesheets; securing signatures, filing, posting member's hours after each
payroll, and monthly update in DYB program database;
9. Perform administrative support tasks as needed;
10. File and maintain record as requested or needed;
11. Ensure front office station is clean and all confidential documents are filed;
12. Other duties as assigned;
PERFORMANCE MEASUREMENTS
A guide for you to rate your performance; you are successfully completing your tasks if you are:
1. Answers phone by fifth ring and routes caller to appropriate personnel;
2. Voicemails are checked daily and messages are taken and delivered promptly and accurately
via email or in person;
3. All visitors are logged in and out and have badges;
4. Transmission of information is promptly completed;
5. Reception area is kept clean
