**Primary Purpose:**
The CHEST Experience Front Desk Specialist is part of a team of support specialists who provide service to enable staff, customers, and guests to have an exceptional CHEST experience. Oversee CHEST global headquarters front desk area, serving as the first point of contact and arrival into the building.
**Essential Functions/Responsibilities:**
- Demonstrate a passion for crushing lung disease and embody CHEST values: honor the team, lead with integrity, leverage passion, cultivate innovation, and have serious fun.
- Greet and direct all visitors including vendors, job candidates, learners, and clients. Ensure completion of paperwork, sign-in, and security procedures of all visitors.
- Take care of the registration and badge printing processes for live learning courses, PREP, and visitors to the building.
- Manage I&T invoices.
- Maintain the office supply inventory of commonly used items to include mailroom supplies; place orders as appropriate and train staff to use online ordering system for their individual department.
- Maintain the caf and satellite stations inventory, regularly placing orders and replenishing items, as needed.
- Assist Marketing Team in facilitating CHEST Store sales when groups are in-house, including re-stocking of the store.
- Assist Facilities Manager in ensuring logging and delivery of all messages, packages, and mail in a timely and professional manner.
- Act as backup to Facilities Manager, e.g., giving vendors room access, etc.
- Assist in maintaining seating chart and office/seating signage, as well as name badges for all CHEST staff.
- Assist Training Center Operations Manager with room setups, including tables, chairs, and audio-visual equipment, as needed.
- Assist learners with WiFi access, mobile devices/apps, etc.
- Assist with minor testing of website
- Develop and retain an excellent working knowledge of CHEST, its member programs, products, and benefits. Share knowledge with other team members.
- Develop and retain an excellent working knowledge and awareness of the roles of other office employees.
- Help develop processes to deliver on our quality service commitment.
- Document procedures and new processes via SOPs for the Front Desk role.
**Other Functions/Responsibilities:**
- Maintain professional communications and relationships with staff, colleagues, and supervisors.
- Assist in maintaining office appearance and cleaning standards for front desk/reception space.
- Maintain professional competency through attendance at, and participation in, seminars, workshops, conferences, and other professional meetings.
- Complete other tasks and projects as assigned.
**Required Qualifications and Competencies:**
* Associate College degree or commensurate training
* At least 1-year relevant experience
* Well-developed interpersonal skills to interact effectively with both visitors and staff at all levels
* Demonstrated ability to work effectively both independently and in a cooperative team environment
* Dependability; prompt, regular attendance essential for success
* Proficient computer skills to include Microsoft software suite (Word, Excel, PowerPoint)
* Strong organization and prioritization skills
* Demonstrated ability to do several tasks simultaneously while maintaining a customer service-friendly attitude and perspective
* Demonstrated ability to use sound judgment and maintain confidentiality
* Must project a positive, pleasant, and professional demeanor
* Excellent verbal and written communication skills
* Strong organization and prioritization skills to work on multiple projects simultaneously in a fast-changing environment
