both staff and candidates on the path to victory. We are seeking a passionate and detail-oriented
Fundraising Event Logistics Consultant to join our team to support two events in the month of May.
About the Role You will play a critical role in ensuring the smooth operation and success of two fundraisers benefiting
Arena that will take place in New York City; the first one will be held on Sunday, May 19 and the second
on Sunday, May 26 . You will be responsible for supporting logistical aspects on the day of the event,
and ensuring a seamless experience for our guests, donors, and staff.
Responsibilities Pre-Event Logistics
? Assist with the creation and implementation of detailed event day logistics plans.
? Coordinate with vendors on set-up, breakdown, and overall event logistics.
? Prepare check-in materials and procedures for guests and donors.
Event Day Management:
? Be present, onsite, for both fundraisers.
? Oversee guest and donor check-in at the event entrance, ensuring a welcoming and
efficient experience.
? Manage volunteer assignments and provide on-site support to ensure all tasks are
completed effectively.
? Troubleshoot any logistical issues that may arise during the event and implement
solutions.
? Maintain clear communication with event staff and leadership throughout the event.
? Assist with breakdown and post-event logistics.
Data Management:
? Assist with recording donor check-in information and ensuring data accuracy.
Qualifications: ? Strong organizational skills and the ability to manage multiple tasks simultaneously in a
fast-paced environment.
? Excellent communication and interpersonal skills, with the ability to build rapport with guests,
donors, and staff.
? Proficient in G-suite.
? A passion for the mission of Arena.
? Experience working on a Democratic campaign or in progressive organizing is a plus.
Time Requirement:
? Available remotely before both events for pre-event logistics work, estimated to take no more
than 3 hours total.
? Available onsite in Manhattan for 4.5 hours per fundraiser during the following times:
Sunday, May 19, 2024, New York, NY Hours Total of Work: 4.5 hours
Staff Arrival Time: 5:15 p.m.
Event Start Time: 6:30 p.m.
Event End Time: 8:30 p.m.
Staff Departure Time: 9:45 p.m.
Sunday, May 26, 2024, New York, NY Hours Total of Work: 4.5 hours
Staff Arrival Time: 11:45 a.m.
Event Start Time: 1:00 p.m.
Event End Time: 3:00 p.m.
Staff Departure Time: 4:15 p.m.
