It includes a team of over 120 staff and 16 state-of-the-art core facilities, each focused on specific technologies and located across VIB sites in Ghent, Leuven, Antwerp and Brussels. These core facilities play a crucial role in supporting VIB's +1,800 researchers with their expertise and advanced resources.
Job description
VIB Technologies is looking for a General Support Professional to assist with Administrative and Logistic tasks for our dynamic teams. In this key role, you will help ensuring smooth operations for multiple units, supporting leadership and contributing to the efficiency and success of our organization.

Your Role and Responsibilities
General Administration and Logistic Support
Manage a broad range of secretarial tasks, including scheduling and managing correspondence
Assist unit heads with agenda planning
Support for hosting visits and small-scale events in the planning phase:
coordinate communication with all parties involved to share practical information
ensure everyone is informed about the schedule
handle travel arrangements
schedule meeting rooms
On-site support for hosting visits and small-scale events:
Ensure meeting rooms are set up
Welcome visitors and act as the point of contact for practical questions
Address issues, such as delays or last-minute logistical challenges
You will work closely with a team of five colleagues who support the VIB Technologies program. You will also work with the administration and logistics departments of VIB, ensuring smooth task execution.
Profile
Bachelor's or Master's degree in Business Administration, Office management, Event management, or equivalent experience.
Proficiency in written and spoken Dutch and English.
Ability to manage multiple tasks and prioritize effectively.
Strong social and communication skills, meticulous, well-organized, and structured.
Ability to collaborate across diverse teams and build strong relationships with colleagues and stakeholders.
Strong problem-solving skills to address and resolve issues efficiently.
Experienced in the use of Microsoft Office tools
High level of accuracy and attention to detail in all tasks, including scheduling, correspondence, and planning.
Eager to learn, proactive in taking initiative, suggesting solutions and anticipating needs.
Able to handle diverse tasks and work with short deadlines.
