PURPOSE: The purpose of this position is to provide prompt and efficient customer service to the general public for the office of the Recorder of Deeds.
As a representative for the Recorder of Deeds, the deputy records documents that meet state recording requirements, issues marriage licenses, and provides document duplication of archived records.
Work is performed under the direct supervision of the Clerical Supervisor II.
JOB DESCRIPTION:
o Support and assist team members to accomplish daily objectives, such as ensuring documents meet state recording requirements; scanning, cashiering, indexing, and verifying
o Prepare rejection notices for unrecordable documents and return to sender
o Issue and record Marriage Licenses
o File federal and state tax liens; purge records to comply with the Secretary of State retention schedule
o Collect, file, and record Military Discharge documents
o Respond to requests for duplication of archived records via fax, email, or mail; certify on behalf of the Recorder if needed
o Sort and distribute mail
o Receive and process check, credit card, and electronic payments made to the office
o Answer phones and greet the general public; Assist with various inquires
o Record and issue documents at main floor customer service window
o Rotate weekly job tasks for interdepartmental duties; involves 0-25% telecommuting
o Perform other duties as assigned
EQUIREMENTS:
Education
o General or Technical high school diploma or equivalent
Job Experience
o Minimum three (3) years of customer-facing office experience
o Minimum one (1) year of data entry and/or significant word processing experience
Knowledge, Skills and abilities
o Must have basic computer skills with working knowledge and ability to use virtual conferencing platforms and Microsoft Office
o Must have the ability to communicate clearly both verbally and in writing
o Prefer knowledge of State, County, and Department statutes, policies, and procedures
o Any combination of education, experience, and/or training that could equal these requirements may be considered.
o Bilingual preferred.
Candidates with excellent verbal skills in both English and Spanish may qualify for pay differential.
Requires successful completion of computerized clerical skills testing as follows:
o Data Entry - 4800 KSPH
o Customer Service - 80%
o Word - 50%
