Position Title: WIIN Grant Coordinator Classification: Administrative Specialist 2 Salary: $3,398.00 - $5,148.00 We are seeking a WIIN Grant Coordinator (Administrative Specialist 2) to join our Office of Finance and Information Technology at the Oregon Department of Education. This is a limited duration position scheduled to end September 30, 2024. This position is represented by the Service Employees International Union (SEIU). This role is designated as hybrid and will need to report to office when business or operational needs are dependent on onsite activities. The Office of Finance and Information Technology (OFIT) provides timely and reliable fiscal, administrative, and information technology services. This work is designed to ensure that all agency services adhere to applicable laws and regulations while seeking solutions focused on the needs of Oregon's children. OFIT contributes to an infrastructure that allows ODE staff to focus on the core mission of leadership, accountability, and school improvement. The Office of School Facilities and Special Projects, located in the Office of Finance and Information Technology (OFIT), is charged with statewide planning and leadership in creating new programs to (1) address the deterioration of Oregon's public school facilities; and (2) implement and administer new grants created by the legislature for specific purposes related to improving education across Oregon's 197 school districts. What you will do! The primary purpose of this position is to provide daily administration and coordination of the federal Water Infrastructure Improvements for the Nation (WIIN) Grant, which provides funds to school districts to test water fixtures for elevated levels of lead. As the WIIN Grant Coordinator you will: Support the Healthy and Safe Schools administrator in monitoring and administering the WIIN Grant. Provide technical assistance to grant recipients via email, video conferencing, and phone calls. Review reimbursement requests and lab reports submitted by recipients for compliance with established rules and policies. Correspond recipients to collect or correct related documentation. Please click here to view the full position description What you need to qualify Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis OR An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis OR An equivalent combination of education and experience Desired Attributes (what we are looking for): Candidates who are the most competitive will possess a compelling combination of the following background, skills, and experience: Knowledge of local, state, and federal programs. Fluency with office hardware, software and applications (e.g., Microsoft Office products, Google, Smartsheet, Adobe), and virtual meeting apps (e.g., Zoom, Microsoft Teams, GoTo Meeting). Strong comprehensive communication skills in both speaking and writing Strong organizational and project management skills and ability to manage multiple priorities; work with multiple deadlines, continual change, and at times heavy workloads; and pivot between competing priorities (including many same-day requests) and situations with ease and grace. Experience providing advice or technical assistance to school districts, tribes, community groups or public. Ability to establish effective relationships with a variety of partners and community groups representing diverse perspectives and lived experiences Ability to coordinate complex projects with ever-changing structures and timelines.
