\n Position Summary:The Group Sales and Events Coordinator is responsible for organizing details for large group sales and events and implementing outings/events to maximize guest experience. This professional is instrumental in ensuring that guests receive outstanding individualized customer service. Additional responsibilities include assisting in generating new business and maintaining relationships with current clients as well as generating additional revenues through up-selling of facility products, services, and amenities. Primary Duties and Responsibilities:Act as the primary coordinator for group events, managing both the planning and coordination of the group's experience and serving as the on-site point of contact during the event.Manage requests for large group reservations and events throughout all resort seasons.Document groups' requests and organize required booking documents accurately.Maintain assigned leads, keeping all steps of the booking and contract processes up to date.Compile reservation details into written proposals, ensuring accurate documentation.Secure signed contracts and deposits in a timely manner.Establish an organized system to gather and compile all information related to group reservations, events, and tournaments in a timely manner. This may include items such as room reservations, tee times, caddie requests, dining arrangements, and more.Outline details of large group reservations, events, and tournaments details for interdepartmental sharing to maximize cohesion amongst teams.Cultivate positive relationships and share important event information with team members, particularly those in customer-facing roles, to enhance customer satisfaction.Conduct friendly, professional orientations and tours as needed for guests, sharing information about facilities, amenities, services, policies, etc.Address customer inquiries and/or complaints in accordance with established policies.Learn and retain general knowledge of other departmental operations, including Golf/Caddies/Retail, Food & Beverage, Rooms/Hotel, and others, to enhance revenue through upselling and assist with special guest requests.Monitor guest activities and customer satisfaction during group stay.Audit folio statements throughout outing/event for billing accuracy, and ensure timely final payment of Master folio invoices.Examine the final arrangements meticulously. Arrange your schedule to ensure your presence during outings and events. Evaluate the best times to greet groups during their visit, taking into account the intricacies of the programming.Performs other duties, as appropriate. Qualifications:High school diploma required. College degree preferred.Familiarity with Microsoft Office (Word, Excel, Outlook) is preferred.Strong written communication skills; clear, concise correspondence; mathematical skills are extremely beneficial.Demonstrate professional verbal communication skills, effectively communicating and collaborating with guests and colleagues alike.Highly organized with attention to detail and time management.Critical thinking skills to anticipate needs, analyze requests, and solve problems; adaptability and teamwork; ability to handle multiple tasks under pressure with minimal supervision; flexible hours, including nights/weekends.Maintain a positive attitude, emotional intelligence, and professional demeanor. Working Conditions:Typical office setting with overheard lighting and adjustable ventilation.
