What You'll Do Family Services Coordinator is responsible for providing direct support for the Family Engagement Advocates and ERSEA Specialist.
The Family Services Coordinator will develop and maintain functional, supportive relationships with a variety of professionals.
The Family Services Coordinator position will serve as an Eligibility, Recruitment, Selection, Enrollment, and Attendance t(ERSEA) Head Start Performance Standards internal subject matter expert.

Responsibilities We Are Warriors | We Set the Standards for Child Education
Work Standards Plan and implement family support services and oversee the day-to-day responsibilities of the Family Services staff Manage internal and external programs Immediately address schedule changes/personal concerns Organize and facilitate weekly group staff meetings with Family Engagement Advocates (FEA) and Eligibility, Recruitment, Selection, Enrollment, and Attendance (ERSEA) Specialist Review 10% of all client case files quarterly Maintain a tracking system of closures and new clients for all family service coordination caseloads Maintain ERSEA Head Start Performance Standards when enrolling children and families and adhere to the agency's selection criteria Ensure timely follow up on program inquiries and maintain a tracking system of potential enrollees Oversee the tracking system for program walk-in inquiries including tracking system for program phone and walk-In inquiries Oversee research and encompasses canvassing techniques to help meet program goals Staff must not use/imposed corporal punishment or other forms of child maltreatment as a method to discipline children Comply with company policies, procedures, Child Care Minimum Standards, and HSPPS regulations and standards Always ensure the health and safety of each child in care, and support the overall well-being of children Immediately address the issue and communicate with supervisor all concerns related to child health and safety Process new hire training Monitor and analyze all Program Information Report (PIR) data is current and in data system in coordination with Program Information Analyst All other duties and projects as assigned Communication Communicate with faculty regarding a range of issues Ensure that all concerns or challenges are addressed professionally, timely and effectively Communicate with Family Health and Disability Director related to concerns, data trends, and ERSEA records Prepare reports as needed for Regional Director and Program Director Review family engagement advocates' documentation monthly to validate those internal stakeholders are informed of children's allergies, chronic health conditions or special needs to ensure medical documentation is received, and case conferences occur prior to entry Oversee and ensure all applications and ERSEA information and documents in data system for children who are enrolled or placed on the waitlist Oversee ERSEA records, inclusive of recruitment plans and required attendance action plans Ensure program inquiry tracking through database or other tracking reports Oversee data reporting and metrics as needed and requested, such as monthly summary tracking reports, etc. We Are Servants| We Help Others
Teamwork Address and collaborate with employee's supervisor mitigating concerns: inclusive but not limited to classroom management, behavior management, child health and safety, child development, and any other concerns requiring intervention Assist Regional Director in working directly with the Family Engagement Advocates Collaborate with Family Engagement Advocates by providing hands-on supervision and support for Family Services Staff Assist Family Engagement Advocates with monitoring case loads Communicate updates and with Regional Director, resolving critical issues immediately Work with the Family Engagement Advocates and Directors to enroll children and families based on selection criteria. Work with perspective centers to offer enrollment coverage in circumstances in which a Family Engagement Advocate is not available When Family Engagement Advocate is not available, Family Services Coordinator is responsible for intake of applications upon enrollment and assignment to the appropriate stakeholder. Work closely with the Regional Director, Program Director and other Head Start leadership and staff to maintain focus on family engagement, health, and nutrition with program goals and objectives that meet the needs of the students and families Work closely with parents, staff, and administration to ensure program operations are supporting and meeting program goals and objectives and learning outcomes Assist program leadership with scheduling, planning, and coordinating recruitment activities throughout program year We Are Family | We Are Passionate & Compassionate
Building Relationships Participate in community boards, councils, advisory groups, etc., representing the agency Develop and maintain strong working relationships with classroom teachers, administrative staff, children, and parents to ensure the children receive quality learning experience Must maintain confidentiality.
Use discretion and confidentiality in all matters related to families and program as appropriate Develop recruitment plans consistent with the program and community goals Work as part of the team and always show professionalism by modeling and demonstrating a positive attitude and working relationships, while maintaining strong ethical boundaries Engages in community events, public speaking opportunities, and other stakeholder events to help maintain ongoing enrollment of the program In collaboration with family advocates, distribute flyers, brochures, and other program information Work as a team player and exhibit professional behavior and a positive attitude with both internal and external clients that reflects positively on the Agency and is consistent with Agency policies and practices Actively participate in exhibiting cultural awareness and sensitivity when interacting with children, parent(s)/guardian(s), staff, and the community Developing & Engaging Others Provide weekly supervision for each Family Engagement Advocate Provide quarterly field supervision to Family Engagement Advocate Coach and support staff to ensure they have the necessary tools and resources needed to optimize performance, ensure established program goals and achieve operational excellence. Communicate with direct reports in periodic one-on-one meetings Organize and deliver regularly scheduled staff meetings to communicate present, on-going, and future updates of pertinent information, projects, and initiatives (combined into first bullet) Work closely with management team to interview, hire, and onboard new employees who are strong cultural fits for Upbring Work in collaboration with leadership and the Organizational Development and Culture Team to arrange training; when needed, coordinate and/or provide in-service training for staff development Regularly review employee performance, including goals and progress, to provide developmental feedback: use applicable agency development tools to facilitate growth and development in staff Draft and issue the 90-day and annual evaluations, along with supporting documentation, as per established procedures; work in collaboration with staff to set goals during evaluation periods Qualifications Minimum Qualifications Bachelor's Degree in social work, family and child services, psychology, or related field 2 years minimum experience working with diverse populations in an educational setting 1 year of supervisory experience Preferred Qualifications Master's degree in social work, education, or a related field preferred 2 years supervisory experience Basic Family Services Credential (preferred and required after employment) Prior experience working in low-income diverse communities Bilingual (English and Spanish) based on service population and area Knowledge and experience with ERSEA Head Start Performance Standards Perks at Upbring Competitive PTO & paid holidays Health, dental, vision insurance & more!
