SUMMARY: Under direct supervision of the building principal, this position provides administrative and secretarial support for the building principal, staff and school.
In addition to typing, filing, and scheduling, this position performs duties such as; financial record keeping, coordination of meetings, conferences, and travel arrangements, obtaining supplies, coordinating direct mailings, purchasing requisition management, student information system management, coordinating substitutes, and working on special projects.

1.
Support building staff by; maintaining student information and data both in hard copy format and in PowerSchool (Student Information System).
2.
Completing beginning and end of year set up and calendars for PowerSchool, VHS Bell System and Student Registration.
3.
Responsible for daily period-by-period attendance of students and verifying absence information from parents and teachers.
4.
Responsible for maintaining accurate student records including attendance, enrollment and registration, immunization records, quarterly grades, awards, lockers and change of status information in PowerSchool and standard filing systems.
5.
Responds to local and state agency requests for student records.
Maintains appropriate student information, legal documentation, and confidentiality of information and records as required.
6.
Manage purchase requisitions for building and teaching supplies, staff reimbursements, staff professional development travel.
Manage inventories and supply purchases for building office supplies, office machines, professional development materials and student medical supplies.
Reconcile orders upon receipt.
7.
Process and manage building deposits and petty cash.
8.
Reply to email, telephone or face-to-face inquiries in addition to answering and routing telephone calls.
9.
Support building administration by typing and processing correspondence, scheduling meetings, presentations and interviews.
COMPETENCIES: 1.
Knowledge of how to operate basic office equipment.
2.
Knowledge of Microsoft Office, Google Drive, Adobe Creative Cloud programs, and Mac and PC operating systems.
3.
Skills in effective communication, time management, and record keeping.
4.
Ability to collaborate with other staff members as necessary to complete tasks.
5.
Ability to work comfortably with students, staff, parents, and community members from diverse backgrounds, while being responsive to their needs.
6.
Ability to maintain strict confidentiality.
7.
Ability to manage multiple projects at once and to be flexible in regards to needs that may arise.
SUPERVISORY RESPONSIBILITY: This position assists in the supervision of substitutes, parent volunteers, and student interns.
WORK ENVIRONMENT: This job operates in a professional office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
PHYSICAL DEMANDS: Ability to stand, walk, and sit frequently or for prolonged periods of time.
Additional physical abilities include lifting/carrying/pushing/pulling, stooping/crouching, reaching/handling, excessive typing, speaking, hearing conversations, and near/far visual acuity, depth perception, and field of vision.
POSITION TYPE AND EXPECTED HOURS OF WORK: This is a full-time position.
Days and hours of work are Monday through Friday, 7:30 a.m. to 4:30 p.m. (8 hours/day).
This position operates for 210 days out of the year.
Salary Grade Level C
TRAVEL: Some travel may be expected for this position.
REQUIRED EDUCATION AND EXPERIENCE:
1.
High school diploma.
2.
One year of administrative experience.
PREFERRED EDUCATION AND EXPERIENCE: 1.
Two years of related experience.
ADDITIONAL ELIGIBILTY QUALIFICATIONS: The successful candidate will be required to present a valid criminal background check upon hire.
