Job Summary: The HR Administrator is responsible for providing essential support to the Human Resources department by performing various administrative tasks to ensure efficient operations.
This position requires strong communication skills in both English and Spanish to interact effectively with a diverse workforce.
The role also involves managing HR processes with accuracy and confidence to maintain smooth departmental functionality.
Key Responsibilities: Employee Relations: Serve as the first point of contact for HR inquiries from employees, addressing questions related to policies, procedures, benefits, and compliance.
Provide guidance and information in both English and Spanish to ensure clear communication. Onboarding and Offboarding: Coordinate the onboarding process for new hires, including preparing employment documents, conducting orientation sessions, and setting up systems.
Conduct exit interviews and manage the offboarding process, maintaining records and confidentiality. Documentation and Record-Keeping: Maintain employee files, ensuring that all HR records, including personnel data, legal documents, and employee contracts, are accurate and up to date.
Translate documents and HR communications between English and Spanish as needed. Benefits Administration: Support employees with benefits enrollment, updates, and inquiries.
Assist in communicating benefits information and policy changes, ensuring comprehension across all employees, especially Spanish-speaking staff. HR Compliance: Assist in ensuring compliance with local labor laws, company policies, and procedures.
Help with audits, reporting, and documentation to maintain regulatory standards.
Translate compliance-related documentation and ensure understanding among Spanish-speaking employees. HR Systems and Reporting: Manage data input into the HRIS (Human Resources Information System) and run regular reports on workforce data, such as employee demographics, turnover, and attendance.
Assist with any Spanish-language system support for employees, as necessary. Employee Engagement: Help plan and coordinate employee engagement activities and initiatives, ensuring that communication is inclusive of Spanish-speaking employees.
Assist with the translation and distribution of internal newsletters, announcements, and surveys. Training and Development Support: Coordinate training programs and assist in delivering HR-related training to employees in both English and Spanish.
Ensure training materials are available in both languages and facilitate sessions when needed. Qualifications: Language Skills: Bilingual proficiency in both English and Spanish (spoken and written) is required.
Ability to translate documents and effectively communicate in both languages. Education: Bachelor's degree in Human Resources, Business Administration, or a related field is preferred, or equivalent experience. Experience: 2+ years of experience in an HR administrative role, preferably in a bilingual work environment. Experience with HR systems and databases (e.g., HRIS, payroll software). Knowledge: Solid understanding of HR policies, procedures, and employment laws. Familiarity with HR processes such as recruitment, onboarding, benefits administration, and employee relations. Skills: Strong interpersonal and communication skills in both English and Spanish. High attention to detail, organizational skills, and ability to manage multiple tasks simultaneously. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to maintain confidentiality and manage sensitive information with discretion. Preferred Qualifications: Experience in a multicultural or international organization. Knowledge of U.S. labor laws and regulations. Certification in HR (e.g., SHRM-CP, PHR) is a plus.
