The School of Medicine Dean's Office has a Temporary Human Resource Business Partner (HRBP) position reporting directly to the Managing Human Resources Partner for the Administrative Business Center (ABC) Shared Services.
This position is expected to last 6 months.
The HRBP will provide expert consult and complex support within the HR Shared Services team for eleven SoM departments (nine biomedical research departments and two clinical departments) and the Dean of Medicine departments.
The position will handle Human Resources and Payroll matters requiring independent judgment, analysis, and discretion in effecting, executing, and discharging personnel functions in the University of Washington's human capital management system, Workday.
This position will be responsible for ensuring that Workday activities are managed accurately and timely, following compliance requirements per the State and University regulations.
This position is expected to understand, interpret, and apply appropriate policy, procedure, and required regulations.
This position will work closely with the SoM Academic Appointments and Compensation unit, the Integrated Service Center, Total Talent Management, and the University's Compensation Office.
DUTIES AND RESPONSIBILITIESThis position requires significant organization, problem-solving, project management and communication skills with frequent and substantive interactions within and outside the ABC Shared Services unit.
Individual initiative, solid judgement, discretion regarding sensitive and confidential matters and superior customer service skills are all necessary for the tasks assigned.
This position requires accuracy, efficiency, flexibility, creativity, and a desire to serve multiple stakeholders, while working within UW regulations.
Human Resource Management - 70%Understand the organizational complexities of the supported Departments and Dean's Office units, including job types, reporting relationships, specific roles and responsibilities within the broader context of the SoM's administrator of policy and procedure.Serve as day-to-day expert providing informal and formal first tier advice and guidance to staff, students, directors, and administrators regarding UW human resources policies and procedures.Provide short-term HR Manager coverage to departments across SoM as needed.Assist departments in coverage plans for payroll and HR roles.Provide school-wide HR and Workday process support.Understand and be proficient in the complexities of staff, academic personnel, undergraduate and graduate students.
Manage leave records for staff and academic personnel.
Attend and participate in SoM and campus-wide human resources meetings and committees.Attend and participate in All Team and HR / payroll specific team meetings.Attend and participate in Workday trainings related to job functions.
Complete all relevant Workday assessments successfully.Special Projects - 20%Develop and implement recruiting strategies for ABC clients; develop job descriptions and best practices.Participate in developing and delivering other HR related trainings.Compile repository of job descriptions for SoM use.Manage all updates to the SoM Staff HR Intranet site.Develop training tools for SoM HR Managers regarding Workday.Lean Process Improvement – 10%Identify and recommend process improvements regarding the ABC HR/P process, quality control, and SharePoint system.Develop, analyze, and revise team guidelines, policy, procedures, and training tools.Develop, analyze, and revise team communication templates which serve to streamline processes and increase consistency.GENERAL WORKING CONDITIONSThis position requires regular availability during the working hours of 8:00am – 5:00 pm for maximum availability to the personnel of the Department.
Overtime may be required to complete tasks and work must be assessed independently and carefully to complete projects in a timely manner.
MINIMUM QUALIFICATIONSBachelor's degree in human resources management, business administration, or other related field.Two years' work experience preferably in human resources at a diverse, multi-faceted organization.Thorough knowledge of HR policies, procedures, principles, and practices.
Personnel and salary administration, recruitment techniques and management.Excellent interpersonal and communication skills (written and oral).Proficient in Microsoft Word, Excel, and PowerPoint.
Ability to write effective, useful, and timely documentation.Ability to communicate in a diplomatic, friendly, yet effective manner with SoM leadership, faculty, staff, and central campus offices.Ability to analyze needs, assess potential avenues, and implement creative solutions to ensure a steady flow of high-quality, high-achieving staff.Highly organized, demonstrate ability to multitask in a consistently fast paced environment in an organized and efficient manner.
Self-motivated, flexible, creative, ability to prioritize and be solutions orientated.Ability to creatively solve problems in order to meet goals and objects.Exhibit a proactive, service-oriented manner and ability to deal effectively with a diverse and demanding client base.Demonstrated success in working with diverse populations.Demonstrated ability to work independently and as part of a team.DESIRABLE QUALIFICATIONSCertification as a Professional in Human Resources (PHR) or Society for Human Resources Management Certified Professional (SHRM-CP).Human resources and payroll experience at a large University setting.Experience working with union and non-union employees, classified employees, professional staff employees, faculty, and student employees.Knowledge of Washington State employment law.Knowledge of University of Washington human resource policies.Experience in Workday, SharePoint, and lean process improvement.Application ProcessThe application process for UW positions may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
