JOB SUMMARY
The Athletic Services Coordinator manages the interscholastic athletic programs and game management within the junior high schools and assists with athletic events at the high school.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following tasks.
Employees in this position perform some or all of the following tasks.
Other duties may be assigned at any time.
* Provides administrative support to the athletic department including conducting student athlete registration, verifying student eligibility, maintaining coaching certification files, preparing materials and correspondence, and coordinating transportation to athletic events.
* Maintains all confidential student athletic records including physicals, GPAs, insurance forms, fees and fines.
Maintains accurate filing systems for student athletes and coaches.
Maintains all insurance records and claim/accident forms and ensures proper completion.
* Participates in the hiring and orientation process for new coaches.
* Acts as liaison between principals, vice principals, coaches, officials, and the Bureau of Parks and Recreation.
* Maintains proper certification and training for the entire coaching staff (first aid, ASEP, Bloodborne pathogens, etc.
).
* Monitors and collects all participation fees.
* Facilitates effective communication between coaches, parents, athletes, and school administration, and serves as the initial point of contact for parents regarding athletic schedules.
* Supervises the management of equipment, facilities and supplies.
* Works with the league coordinators in the scheduling of inter-scholastic athletic contests.
Arranges for necessary equipment.
* Works with the assistant principal to arrange for the supervision of home athletic events.
Secures officials for all home contests and recruits personnel necessary for managing various athletic events.
* Prepares purchase orders in compliance with district procedures and manages the school athletic budget under the supervision of the assistant principal.
* Assists the custodians and maintenance personnel in coordinating maintenance programs for facilities.
* Refers promptly to the assistant principal information regarding incidents or conduct that could result in disciplinary action.
* Coordinates with physical education personnel in matters of sharing facilities, resources, and equipment.
Establishes a practice time schedule balancing competing requests for the same times/spaces.
* Ensures established procedures in regard to safety, accident reports, and insurance, are consistently followed by all athletic coaches and assistant coaches.
* Consistent, daily and punctual attendance.
NON-ESSENTIAL DUTIES AND RESPONSIBILITIES
Non-essential duties of this position include the following tasks.
Employees in this position perform some or all of these tasks.
Other duties may be assigned at any time.
* Represents Lake Oswego at meetings and conferences relating to junior high athletics.
* Trains new coaches/employees, substitutes, students and community volunteers.
* Operates various office equipment including telephones and photocopy machines.
* Attends in-service trainings, staff meetings and other meetings as assigned.
* Communicates information about district, school and/or departmental policies and procedures to students, staff, parents and patrons.
* Supervises students on school grounds and athletic fields, on field trips and at various school functions.
* Arranges for preparation of athletic fields prior to scheduled events.
* Reports issues to the principal and the appropriate authorities including safety, sanitary and fire hazards, vandalism, thefts and errant wildlife.
OTHER REQUIREMENTS
* Consistently follows all applicable federal and state laws and all district policies, rules and supervisor directions.
* Observes ergonomics of sedentary office work including placement of computers and monitors, and sitting alignment.
* Observes proper lifting techniques and other strategies to avoid accidents and personal injury while performing job duties.
* Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
All school employees have some responsibility for supervising students and assisting in maintaining a safe environment.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

* High school diploma or GED is required.
An Associate Degree in a related field is preferred.
Three (3) years of previous experience in this or similar position preferred.

Ability to prepare routine reports and correspondence with high degrees of accuracy and professionalism.
* Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
Ability to calculate rates, ratios, percentages, proportions and area, including circumference and volume.
Ability to read and interpret various charts, bar graphs and similar visual data depictions.
* Ability to apply common sense understanding to carry out instructions furnished in oral, schedule or diagram form.
Ability to deal with problems involving more than one variable.
* Ability to effectively use office computers and internet access for email, research, word processing, database manipulation, visual presentations and general web-based applications.
* Ability to exercise good judgment and work effectively in a dynamic environment.
Demonstrated flexibility working with a wide variety of people with varied backgrounds and competing objectives.
* Valid First Aid Card and Oregon Driver's License are required.
Must have or be able to obtain various certificates, licenses and/or registrations as required by federal, state or local law(s) and/or determined by the district.

Special Requirements:
The person selected for this position must be able to provide: proof of educational requirements, verify identity and employment authorization, complete a pre-employment record check and be approved by the State Department of Education after having a Fingerprint-Based Criminal History Verification completed.
The selected candidate will pay $10-$20 for a set of fingerprints and $66.00 for the verification check.
