Position Overview
The Intern Administrative Assistant will work closely with the Employment Specialist Team, along with the Director of Programs, as a supporter of St. Joseph the Worker's mission, vision, and growth.
The Intern Administrative Assistant will provide administrative and clerical support to facilitate daily functions.
Functions of Position
The Intern Administrative Assistant's work duties will include, but are not limited to:
Answer and transfer phone calls, screening when necessary.
Maintains the voicemail system, ensuring that all voicemails are responded to in an efficient manner, or redirected to the appropriate recipient.
Welcomes and directs clients and visitors, serving as the first point of contact for clients seeking services.
Responsible for retrieving and filing all required initial client paperwork in Salesforce.
Responds to and resolves inquiries regarding services offered by St. Joseph the Worker, as well any other relevant questions.
Operates office equipment, including printer, personal desktop computer, and other standard office equipment as necessary.
Required Attributes High School diploma or equivalent required.
Clerical or related administrative experience preferred but not required.
Ability to type at least 45 WPM.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and a strong attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Proficient with Microsoft Office Suite or related software.
Must be able to obtain and maintain a Level One Fingerprint Clearance Card prior to hire.
Reporting
Reports directly to the Director of Programs.
Evaluation
Annual review to be with the Director of Programs to review intern's performance over the past year.
Subjects to be reviewed and discussed will include but are not limited to proficiencies in the management of client calls, the quality of client interactions, and the value add to the team.
Input from vendors and/or partners that have worked with the intern as well as other individuals within the organization to be considered.
Review history of attitude and record of representing the Organization positively.
Lastly, evidence of how you demonstrate SJW's core values.
