A little bit about the role… As InUnison's PART-TIME Administrative Coordinator, you will be the right-hand support to our President/CEO and Vice President of Organizational Strategy, making sure no detail goes unnoticed and every task is tackled with precision. From organizing clerical tasks to keeping operations humming across departments, you will play a key role in ensuring our team is set up for success. Change is constant at InUnison and we can assure you that no workday will be the same. On any given day, week, or month you will be responsible for the following:
Board and Leadership Support Serve as Board Secretary, including transcribing and writing minutes for InUnison and partner organizations (Virginia Retail Federation, Valor RVA, and Virginia Association of Chain Drug Stores).Schedule, coordinate, and prepare materials for Board meetings, committee sessions, and social activities.Manage registrations and travel logistics for the President/CEO and Vice President.Maintain and update their calendars, ensuring all commitments are tracked. Operational Support and Coordination Order office supplies and maintain office equipment like copiers and laptops.Serve as a liaison with the IT support company to resolve technical issues.Ensure the office environment is organized and operational.Sort and distribute incoming and outgoing mail daily.Assist with bookkeeping and insurance-related clerical tasks.Perform routine administrative tasks and support team members as needed.Coordinate communications for scheduling and logistics for programs. Event and Team Engagement Provide support during organizational events, including occasional after-hours work.Schedule and coordinate member mentorships and roundtables.Plan and manage quarterly team-building activities, volunteer opportunities, and staff retreats. Your proficiency ensures tasks are completed, keeping our operations running smoothly.
