Investment Banking Office Management Vice President – West Coast

We currently have a great opportunity for an Office Manager in our West Coast Region.The position will be located in Menlo Park, CA with responsibility for oversight of Menlo Park, San Francisco and remotely to Los Angeles offices for Morgan Stanley's Investment Banking Division. This is an in-office position; ad hoc work from home days considered after 3 months.

This position will handle all aspects of client services, office services, facilities planning,talent management for administrative staff, creating efficiencies, policy implementation, execution, and cost control. Technology planning and coordination with Corporate Services, IT, Creative Services and NY departments (Human Resources, Travel, Expense Management, Multimedia, and Space Planning) is needed to ensure appropriate level of service is provided to each office.

General job duties include, but are not limited to:
- Client Services: Manage relationships with key stakeholders. Maintain quality and consistency of administrative support services. Proactively manage the needs of the business and deliver innovative solutions. 
- Office Services and Facilities:Managing seating and floor plans, streamline employee onboarding experience.Collaborate with internal departments and vendors to ensure full functionality of offices including maintenance, supplies, office construction, safety, and billing among others.
- Personnel Management: Responsible for managing and coaching Executive Assistant workforce. Effectively handle and resolve employee relations issues. Operationalize and promote divisional best practices.Recruiting, hiring, training, and staffing full time and temporary administrative staff.Design and maintain training programs.
- Human Resources: Act as the point person for recruiting, working alongside corporate recruiting, including creating job descriptions, make compensation recommendations.
- Project Management: Oversee logistics of annual analyst and associate programs.Manage and execute office events, office initiatives and special projects.
- Travel: Manage time between Menlo Park (80%) and San Francisco (20%) offices on a weekly basis. Annual (or as needed) travel to Los Angeles office and possible travel to annual Firm hosted conferences.
- 5-10 years of experience across people management, human resources, office management, or other related field
- Exceptional written, verbal, and interpersonal skills with a high level of professionalism 
- Being able to multi-task in a fast paced environment and efficient at managing multiple projects and initiatives concurrently
- Bachelor's degree is required; advanced degree is a plus

Expected base pay rates for the role will be between 145000 and 250000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
