Job Title : IT Events Coordinator Location : Remote Duration : 12+ Months The Meetings & Events Technical Services (METS) team serves as the technology service provider for all company-hosted meetings and events, whether internal or external. The team of highly skilled technical experts spans globally, offering a comprehensive meeting and event technology across all meeting formats, in-person, virtual and hybrid. What you will do- The IT (Information Technology) Meetings and Events Technology Specialist plays a crucial role in facilitating both virtual and hybrid meetings and events. In this position, you will partner/ collaborate intimately with the Event Planners/organizers to advise on virtual event setups using platforms like Zoom, Zoom Events, Zoom production studio, MS-Teams. You will provide insights on how technology (features) aligns and support the Event Planners meeting objectives and assist in the smooth running of events, ensuring both attendees and speakers have a seamless experience. Being able to communicate both verbal and non-verbal across all levels of the organization especially senior level, ensuring clear concise communication Responsibilities: Event Coordination and Technical Production: Serve as the primary coordinator, advisor, and technical producer for both virtual and hybrid events. This entails leveraging a suite of sophisticated event tools and platforms like Zoom, Zoom Events, Production Studio, Microsoft Teams, Slido, Stream Deck, and others. You will be responsible for the intricate orchestration of these technologies to facilitate engaging and interactive events. Event Planning and Execution: Lead the comprehensive planning, setup, and execution of virtual and hybrid events. This involves meticulous preparation and coordination to ensure all technical and logistical elements are aligned with the event's goals. Your role will encompass designing event layouts, setting up demo runs for client approvals, and ensuring all content and participant interactions are flawlessly integrated. Stakeholder Engagement: Act as the main point of contact for key customers and our leadership team, engaging in detailed discussions to precisely understand their requirements and manage expectations effectively. Your expertise will guide the translation of their vision into reality, ensuring alignment with organizational objectives and client satisfaction. Pre- and Post-Event Production: Oversee all pre- and post-event production and administrative tasks to ensure a comprehensive event lifecycle. This includes sharing crucial post-event data and analytics with stakeholders, crafting visually appealing and functional event designs, and managing all communications to registrants before and after the event. Technical Troubleshooting: Assume full responsibility for identifying and resolving any technical challenges that arise before, during, or after events. Your technical acumen will be essential in diagnosing and addressing issues promptly, ensuring a smooth and uninterrupted experience for participants and presenters alike. Your role is critical in mitigating disruptions and maintaining the high-quality standard of our event offerings. Education & Experience Education: Requires a bachelor's degree in communications, Marketing, Information Technology, or a relevant discipline. This education should provide a solid foundation in both the theoretical and practical aspects of virtual event coordination and production. Experience: A minimum of 2 years' experience specializing in the management and production of virtual and hybrid events is essential. Candidates must highlight a portfolio of successfully executed events that highlight their proficiency in this domain. Technical Expertise & Project Management Technical Skills: Advanced proficiency with key virtual event platforms such as Zoom, Zoom Events, Zoom Production Studio, Microsoft Teams, Slido, and Stream Deck. The candidate should be skilled in the setup, operation, and troubleshooting of these platforms to ensure seamless event experiences. Project Management: Demonstrated ability to efficiently organize, plan, and execute multiple events concurrently. This includes superior time management skills and the ability to prioritize tasks effectively under pressure. Communication: Exceptional communication skills are required for clear and effective interaction with internal clients, team members, and stakeholders across various levels. The ability to translate complex technical language into understandable language for non-technical stakeholders is crucial. Problem-Solving: The role demands quick-thinking and creative problem-solving abilities to address and resolve technical challenges swiftly, ensuring the uninterrupted flow of events. You will work with Meeting and Events Technology Services Team: Partnering directly with the team that orchestrates the company's diverse events to ensure flawless execution. Internal Functions: Working alongside departments like Marketing, Learning & Development, Recruiting, DEI (Diversity, Equity, and Inclusion) and others to meet their specific event requirements. Tech and Security: Coordinating with IT, Security, and Infrastructure teams for the technical setup and secure execution of events. External Vendors: Engaging with external vendors and suppliers to leverage the latest technologies and services for our events. This role is key to facilitating effective collaborations and delivering exceptional event experiences within the company.
