JOB SUMMARYThe IT Projects & Vendor Manager will be responsible to the Senior Manager, Information Systems for:
Planning, executing, and finalizing selected projects by overseeing all aspects of the projects including coordinating the effects of team members and third-party contractors to ensure project delivery within agreed scope, time, quality and cost parameters;Actively engaging with, managing, monitoring, building and maintaining strategic relationships with IT vendors and internal stakeholders throughout contract lifecycle to help control project costs, mitigate risks, protect the interests of the Company, hold vendors accountable, and ensure the overall success of the project;Liaising with software vendors, contractors, project stakeholders including HODs, Finance and other subject matter resources for the effective execution of job functions.ESSENTIAL DUTIESLeverages expertise to oversee the implementation of various IT initiatives.Develops project scope, cost estimates, human resource requirements, work plans, time schedules, communication plans, and prepares work assignments to meet project objectives;Ensures project team members are informed, have clear goals, and work collaboratively and in partnership with clients and other stakeholders to achieve planned outcomes;Develops, formalizes, directs and/or manages external relationships with strategic IT vendors and provides direction to staff and consultants and integrates activities with other IT departments to ensure successful implementation and support of project efforts;Defines and holds strategic vendors to high performance standards, and drive continuous improvement by identifying and maintaining vendor performance metrics on technical, process and business outcomes, such as innovation, competitive advantage and increased revenue to ensure effective contract delivery and client satisfaction;Participates and drives Request for Information, quotations and proposals (RFx) and evaluation process for IT Services and products by applying procurement principles which espouses probity in the acquisition of goods and services and which delivers value for money outcomes;Manages expectations for the delivery of the project, ensuring early escalation of issues, as and when necessary, to enable timely and appropriate corrective action.Makes cross-functional improvements in IT Vendor Management related processes, procedures, workflow and maintains an IT knowledge base of negotiating strategies, relevant subject matter experts, and best practices to enable continuous improvement in quality and efficiency;Acts as consultant/advisor on projects to develop appropriate vendor engagement strategies for various technologies and services;Collaborates with other departments to coordinate systems testing, installation, training and support for various initiatives and with limited guidance develops, deploys, and executes test strategies to ensure the highest quality product delivery;Develops and maintains project plan/calendars, showing critical path, key milestones, phase reviews and dependencies for the full project lifecycle, including all key tasks, decision-gates, resource assignment and dependencies along with durations and schedule to ensues timely delivery;Participates in requirements documentation, business systems configuration and defining/execution of acceptance criteria to ensure that projects are completed as per the Company's specified business requirements;Defines project scope, goals, and deliverables in collaboration with stakeholders and sponsors for IT related projects to ensure a high level of client satisfaction;Develops and maintains comprehensive project budgets, reflecting the plans, resource needs (i.e. people and non-people resources) to ensure project budget remain accurate and cost-effective;Ensures application of thorough risk and issue management across the project(s), instigates mitigation actions, identifies contingency plans and manages items through to conclusion to increase the probability of impact of positive project outcome;Manages project resources, including personnel, equipment, and materials, in accordance with project requirements and budget to ensure clear lines of accountability and to ensure successful project completion and delivery;Develops and maintains strong relationships with stakeholders, sponsors, and project team members, through timely and clear professional communication of project status, progress, challenges and changes to prevent confusion and to build confidence and trust;Conducts regular project evaluations, to identify constraints and threats that may impact the ability of projects to deliver within time, cost and quality parameters, ensures compliance with regulatory requirements, manage proposed changes, monitor the quality of deliverables to ensure successful project completion;Documents/Records all project information accurately and consistently using appropriate systems and provide and communicate timely information to relevant parties to ensure project are fulfilled and to establish traceability concerning project objectives vis-a-vis project delivery;Leads the measurement of project performance using appropriate tools and techniques and compiling related reports, as necessary, to enable relevant stakeholders monitor and evaluate the performance of project team, project deliverable and project benefits;Oversees stakeholder management and communication for each project/initiative through face-to-face discussions with clients, daily check ins with team members and project update meetings with senior executives, as may be necessary, to manage expectation and to ensure strong and effective stakeholder relationships;Facilitates the completion of post-project reviews, delivering key insights to project leads, subject matter experts, and sponsors to identify and capture lessons learned to enable continuous improvement;Updates the IS Manager on operational matters by providing briefings as necessary, and submitting regular status reports to enable timely responses to issues and the implementation of improvement measures;Remains current with developments in Information Technology (IT), vendor management and project management by participating in educational opportunities, reading professional publications, networking, among others, to expand individual knowledge and skill set and to enable meaningful contribution to the growth and development of the Department.KNOWLEDGE, SKILLS AND ABILITIESComprehensive knowledge of Project Management and vendor management principles, concepts, and practices;Working knowledge of and ability to interpret Company and departmental guidelines and standard operating procedures;Knowledge of Agile methodology, to direct and coordinate the day-to-day activities, tasks and deliverables required from the project team according to the project plan;Strong knowledge of advanced concepts and basic operating principles of data communications and information systems hardware and software;Broad knowledge of IT principles, concepts, and methods; systems testing and evaluation principles, methods, and tools; IT security principles and methods Internet technologies; and/or emerging information technologies;Solid understanding of basic financial terms, invoices, payment and procurement processes including expense management and invoice processing;Strong time-management and organizational skills, with the ability to meet simultaneous deadlines and requests;Excellent critical thinking, analytical and problem-solving skills and project management skills;Proficient at documenting processes, tools requirements, business requirements, and specifications;Strong attention to detail, even during methodical and repetitive work is important;Excellent oral and written communication skills and the ability to present new technology ideas in a clear and concise manner;Strong interpersonal skills, customer service skills and effective team player;Excellent planning and organizational skills, attention to detail and ability multi-task to accomplish a variety of tasks, sometimes with conflicting priorities and timelines;Excellent attention to detail and active listening skills;Ability to integrate Company core values throughout all business practices;Ability to effectively develop and maintain relationships with management, staff, and stakeholders at all levels.Qualifications & ExperienceBachelor's Degree in Computer Science or related field, plus ten (10) years' experience as an
