Flournoy McLain, PC is looking for an experienced Office Administrator to join our team. In this pivotal role, you will be a key player in our daily operations, ensuring the seamless execution of firm policies and procedures.
Accounting: Bookkeeping Manage all financial transactions, ensuring accuracy, and maintaining compliance within our legal environment.
Payroll: All payroll matters, from setting up employees in QuickBooks to facilitating direct deposit and meticulously managing benefits deductions and 401(k) contributions.
Regulatory Compliance: You will be responsible for handling TWC reports, 940 forms, W-2s, and 1099s, ensuring timely and accurate submissions.
Account Reconciliation: Managing multiple operating and IOLTA accounts as well as credit cards will be part of your daily routine.
Receivables Processing: You will oversee the entire receivables process, from depositing checks to recording transactions into QuickBooks, Clio, and other record-keeping systems. Your attention to detail will ensure that no revenue goes unnoticed or unaccounted for.
Payables Management: Manage vendor relationships, handle invoice processing, and ensure timely payments. Your organized approach will help maintain positive vendor relationships and uphold our financial commitments.
Monthly Client Invoicing: You will play a pivotal role in our monthly client invoicing process by executing monthly client invoicing accurately and promptly.
Human Resource Management: Health Benefits Administration: You will oversee all aspects of health benefit payments, renewals, and enrollments.
Employee Onboarding: You will welcome our new hires, while guiding them through a smooth onboarding process. From handling paperwork and familiarizing them with firm procedures and coordinating workspace and IT setup.
Insurance Management: Managing our business insurance, liability insurance, and workers compensation payments and renewals.
Administrative Record Keeping: Maintaining accurate administrative files, spreadsheets, and databases will be central to your role. Your attention to detail will ensure that our HR records are up-to-date, easily accessible, and compliant with regulatory standards.
Office Management: Marketing and Advertising: Oversee managing marketing and advertising deadlines.
Property Maintenance: Coordinate maintenance and repairs with property management.
Facilities Management: Oversee our office administrative functions, including oversee reception area and duties, managing mail functions, conference room. Your exceptional organizational skills and attention to detail will ensure that our office operations run like a well-oiled machine.
Preferred Proficiencies: Advanced Knowledge of QuickBooks and Bookkeeping: Proficiency in QuickBooks is essential for this role to manage financial transactions, payroll, and reporting effectively.
Microsoft Office Suite: Strong proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, to create documents, spreadsheets, and presentations.
Knowledge of Clio Manage: Familiarity with Clio Manage software is a plus, as it will be used for record-keeping and managing client information.
