Full job description Job Title: Legal Receptionist/Administrative Assistant Location: Liberty, Missouri
Job Type: Full-time, Monday-Friday 9:00 a.m. – 5:00 p.m.

We are seeking a dedicated and detail-oriented Office Manager to join our growing team.
Job Summary: The Legal Receptionist/Administrative Assistant will be responsible for managing the daily operations of our law firm and building space. This individual is the "face" of the firm and must represent the office in a professional and personable manner. Developing processes that run the office and building in an efficient manner is crucial for this role. The ideal candidate will be a multi-tasker with excellent organizational skills and a strong ability to manage various administrative duties efficiently.
Key Responsibilities: Billing: o Pay bills and manage accounts payable.
o Prepare and send invoices as needed.
o Track payments and manage accounts receivable.
o Prepare settlement checks.
o Handle billing inquiries and resolve discrepancies.
o Perform regular bank runs for deposits, withdrawals, and other financial transactions.
Calendar Management: o Maintain the office calendar and ensure all staff and tenants are informed of upcoming events such as conference room reservations, staff meetings, holidays, etc.
IT Support: o Provide IT support to staff.
o Coordinate with external IT vendors for technical issues and maintenance of the building.
Human Resources (HR): o Assist with onboarding new employees.
o Maintain employee records and ensure compliance with HR policies.
o Assist with payroll processing.
Answering Phones: o Answer and direct phone calls in a professional and courteous manner.
o Ensure that phone calls are answered and returned in a prompt manner.
o Handle client inquiries and route calls to appropriate individuals.
Client Intake: o Welcome new clients and assist with the intake process.
o Provide client and potential clients with a personal experience.
o Ensure all client information is accurately recorded and filed in lead management program.
o Coordinate with staff to schedule initial consultations.
Email Management: o Monitor and manage the firm's general email inbox.
o Respond to or appropriately direct emails to the correct team member.
o Ensure timely and professional email communication with clients and other parties.
Building Management: o Maintain a clean and organized office environment.
o Perform routine cleaning tasks of offices and common areas and coordinate with cleaning services as needed.
o Ensure tenant needs are addressed regarding building maintenance and common areas.
o Collect rent and address unpaid rent from tenants.
o Find new tenants when vacancies occur.
o Assist tenants with move in/move out logistical concerns.
Ordering Supplies and Services: o Monitor office supply levels and order replenishments as necessary.
o Manage vendor relationships and negotiate contracts for office services as needed.
Mail and Deliveries: o Sort and distribute incoming mail and packages.
o Prepare outgoing mail and shipments.
o Process documents from clients and distribute documents to the correct team member.
Greeting Clients: o Welcome and greet clients and visitors upon arrival.
o Ensure a positive and professional first impression.
Notarizing Documents: o Provide notary public services for legal documents and client needs.
Staff Support: o Assist with scanning and mail handling.
o Provide other administrative tasks as needed.

Qualifications: Education and Experience:
o High school diploma or equivalent; college degree preferred.
o Proven experience as a Legal Receptionist/Administrative Assistant or in a similar administrative role within a law firm.
Skills and Competencies:
o Notary public certification required.
o Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal case management software.
o Strong organizational and multitasking skills.
o Excellent communication and interpersonal abilities.
o Ability to handle confidential information with discretion.
o Detail-oriented with strong problem-solving skills.
Compensation and Benefits: Aramjoo Law Firm offers a competitive salary commensurate with experience, starting at $18.00/hour, along with a benefits package that includes paid time off and opportunities for professional development.
