In this role, you'll play a key part in keeping our logistics operations running smoothly by handling a variety of essential administrative tasks. From managing invoice collection and verification to ensuring seamless office maintenance and providing vital support to the logistics team, your contributions will be integral to our success. Responsibilities · Collect and verify invoices from logistics service providers, ensuring accuracy and adherence to contractual agreements.
· Process invoices and coordinate with the finance department for timely payment.
· Maintain accurate records of invoices, receipts, and other relevant documents.
· Assist in tracking and reconciling logistics expenses against budget.
· Coordinate with vendors and suppliers to resolve any invoice discrepancies or issues.
· Support the logistics team with administrative tasks, such as data entry, filing, and generating reports.
· Maintain and update logistics documentation, including shipping records, inventory logs, and supplier contracts.
· Assist in managing logistics-related communication and correspondence, both internally and externally.
· Monitor and replenish office supplies as needed.
· Coordinate maintenance and repairs for office equipment and facilities.
· Assist in organizing and scheduling meetings, appointments, and travel arrangements for the logistics team.
· Provide general administrative support, including answering phone calls, responding to emails, and handling inquiries.
Qualifications · College diploma or equivalent; additional education or certification in logistics or related field is a plus.
· Proven experience in an administrative role, preferably within the logistics or supply chain industry.
· Strong organizational skills and the ability to handle multiple tasks simultaneously.
· Excellent attention to detail and accuracy in data entry and record-keeping.
· Proficient computer skills, including MS Office (Word, Excel, Outlook) and experience with logistics management software.
· Strong communication skills, both verbal and written.
· Ability to work effectively in a team environment and collaborate with cross-functional teams.
· Demonstrated problem-solving and decision-making abilities.
· Flexibility to adapt to changing priorities and deadlines.
· Knowledge of logistics operations, terminology, and documentation is preferred.
· Bilingual in Mandarin is preferred.
Location: This is an on-site, office-based role in Anaheim, CA.
Salary: Starting at $23/hour
