SWCA Environmental Consultants is seeking a dynamic Logistics Coordinator to support our Northern and Central California subregion.
The ideal candidate is a proactive, organized problem solver with strong communication skills, dedicated to supporting a dynamic team for smooth and efficient operations.
This position requires the ability to work both independently, as well as collaboratively with all members of the team.
The individual in this position will have high attention to detail, be able to prioritize, multi-task and possess strong time management skills.
The ideal candidate will clearly communicate and provide needed support for employees while also being able to negotiate assertively with our vendors.
This role will be based in the Bay Area office located in Half Moon Bay as a hybrid employee (approximately 50% in-office) and will involve working with our Northern and Central California Staff, Project Managers, Team Leads, and Directors.
Must live within 45-minute drive to Half Moon Bay office.
This is a regular, full-time, salary position and comes with full SWCA benefits.
Reporting to the Senior Administrative Manager of the West region, you will directly lead and manage the Northern and Central California Administrative Team and indirectly support a team of 100 field and office staff in the realms of safety, logistics, employee support, real property and equipment management, expense reconciliation, and vendor management.

What you will accomplish
The Logistics Coordinator will be responsible for providing a suite of project logistics and office administrative support activities.
Logistics Coordination: Manage project logistics for Northern and Central California (NorCenCal) staff, including coordinating with project/task managers regarding project needs; assisting with preparation of and updates to project schedules; coordinating and scheduling staff for fieldwork; arranging travel, vehicles, equipment, and supplies for staff; and collecting safety forms and expense receipts.
Develop strong working relationships with leads and directors for planning, cultural resources, and natural resources and learn team/induvial skillsets and services provided to more efficiently schedule staff.
Serve as the Office Safety Representative and manage health and safety compliance tasks, scheduling training courses, and monthly reporting.
Manage NorCenCal regional assets/inventory, maintenance, organization, and billing of field data and safety equipment, including technology asset management (e.g., field tablets and GPS equipment).
Manage and organize safety gear, securing travel, outgoing and incoming forms, and data, tracking expenditures and reconciling billing.
Procuring Certificates of Insurance to meet contract requirements as needed.
Manage NorCenCal fleet of company-owned and rental vehicles and coordinating vehicle maintenance and repairs as needed.
Administrative Responsibilities: Lead the administrative functions of the NorCenCal offices (Bay Area, Sacramento and San Luis Obispo) by managing current processes and identifying and implementing efficiencies in an effective manner.
Manage and mentor the NorCenCal administrative team members, providing guidance and support to achieve departmental and organizational goals.
Oversee administrative tasks such as office supply orders, mail/FedEx, picking up groceries/errands, document production, and other office-related tasks.
Coordinate both onsite and offsite meetings, conferences, and community volunteer events.
Host virtual meetings (via Teams or Zoom) for the NorCenCal team as directed.
Onboard new employees and offer on-site orientation.
Collaborate with corporate departments as directed.
Coordinate monthly office expense reporting, track office expenditures, and reconcile office credit card statements.
Manage the physical office locations and communications with our landlords and service providers (e.g., janitorial, property managers, etc.)
to ensure office spaces meet working environment standards.
Travel to NorCenCal offices as needed and directed by the West Region Senior Administrative Manager and NorCenCal Directors.
Experience and qualifications for success Required Qualifications Five (5) years previous experience in a similar role, including direct supervision of team Must have a current and valid drivers license, with the ability to drive multiple types of vehicles, trucks, and 4x4's.
Must have own vehicle and be able to run office errands with minimal notice during business hours.
Outstanding, service-oriented people Demonstrated experience using independent decision making and business Bachelor's or associate degree or college coursework in business, administration, office technology, or a related business field is preferred.
Strong computer skills with demonstrated proficiency with Microsoft Office applications including Word, Excel, Outlook, and Teams, Power Point (preferably Version 2010 or later) and other software applications such as Adobe Acrobat Professional.
Excellent communication, multi-tasking, and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment Ability to work independently, be proactive, solve problems, and take initiative; but also, be highly collaborative and team oriented.
Willingness to jump into various types of tasks and learn new things to support our team as needs arise.
Preferred Qualifications Experience with Deltek Vision or other CRM software preferred; experience with SharePoint preferred, experience with Smartsheet platforms preferred.

A Logistics Coordinator in this Half Moon Bay based position can expect a salary rate of $66,144.00- $81,120.00/yr.. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law.
