Management Assistant As a Management Assistant, you'll use your people skills, organizational skills, and can-do personality in support of a Naval Surface Warfare Center Philadelphia Division (NSWCPD) program.
Working directly with the program manager and technical project leads, you will ensure that all required non-technical deliverables are completed on time on a weekly and monthly basis.
Once assigned to a program, you will provide financial support in the areas of budgeting, funds acceptance, expenditure tracking, and reporting to ensure that funded programs are delivered on-time, on-budget, and profits are maximized based on contract specifications.
Clearance Requirement: Must be a US citizen with a current active DoD security clearance or be able to obtain one Essential Functions and Responsibilities: Developing and maintaining program/project financial databases Help create and improve existing task/financial tracking tools in Excel to support the Program Manager Monitor program financial progress and make adjustments as needed while maintaining stakeholder communication, updates, and schedule impacts Working with program managers to accurately report on financials and develop forecasting and execution of funds received Assist in planning, developing, and updating presentations/reports & facilitating meetings Provide financial and budgeting support; as well as develop earned value analysis and metrics Use of dashboards and data manipulation in excel to support analysis of efforts Collect, track, monitor, and report on program expenditures (labor, over time, travel, etc.)
Create metrics to identify spending trends in order to proactively manage funding Track contract and material expenditures in accordance with program schedules Assist technical leads with meeting preparation and scheduling Required Education, Skills, and Experience: Must be a US citizen with a current active DoD security clearance or be able to obtain one Bachelor's degree in Business, Accounting, Finance, or related field preferred 1-3 years of relevant experience related to program support with financial understanding (Experience with DoD preferred but not required) Intermediate experience in Microsoft Excel (Financial and Logical formulas), Word, and PowerPoint Strong attention to detail Ability to work independently Superior verbal, grammatical, and written communication skills Ability to work effectively with and learn from engineering technical staff Ability to multi-task and demonstrate effective time management skills Ability to handle a high volume of work with accuracy and efficiency Physical Demands and Expectations Regular physical activity to include walking, climbing stairs, bending, stooping, reaching, lifting (up to 15 pounds), and standing; occasional prolonged sitting Ability to speak, read, hear and write, with or without assistance Ability to use phone and computer systems, copier, fax and other office equipment This position description re present s a summary of the major components and requirements of the outlined job.
