Description We are conducting the search for an administrative assistant on behalf of a prominent construction company based in Irvine, CA.
This company is known for its excellence in delivering residential, commercial, and industrial construction projects throughout Southern California.
They are currently seeking a highly organized and detail-oriented Construction Administrative Assistant to support their project managers and office staff.
If you are proactive, have a passion for the construction industry, and are ready to make a positive impact, this could be the role for you Key Responsibilities: Provide comprehensive administrative support to project managers, superintendents, and the office team to ensure seamless project operations.
Organize and maintain project documentation, including contracts, permits, change orders, and daily reports.
Assist in scheduling meetings, inspections, and jobsite visits.
Serve as a communication liaison between clients, subcontractors, and internal teams.
Track and manage project schedules, budgets, and deadlines.
Prepare, review, and distribute project-related documents such as RFIs (Requests for Information), submittals, and transmittals.
Process invoices, track project expenses, and assist with budget management.
Handle incoming calls, emails, and correspondence in a professional manner.
Support vendor and subcontractor relationships, ensuring compliance with contracts and project specifications.
Maintain both electronic and physical filing systems for all project-related materials.
Assist with project closeout documentation, including warranties, as-builts, and manuals.
Requirements Qualifications: 2+ years of administrative experience, ideally within the construction industry.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with construction management software (e.g., Procore, Buildertrend) is a plus.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to prioritize tasks and manage multiple projects simultaneously.
High attention to detail and ability to work in a fast-paced environment.
