Office Assistant We are seeking a dedicated and detail-oriented Office Assistant to support our daily operations and contribute to a productive, organized, and collaborative work environment. Reporting directly to the Senior Executive Assistant, this role encompasses a wide range of responsibilities, including administrative support, facilities coordination, and vendor management, all aimed at ensuring the smooth operation of our office. Responsibilities • Prepare and manage documents, including binding, laminating, and coordinating shipments. • Serve as the primary point of contact for meal deliveries, ensuring timely and accurate service. • Manage office supply inventory, including ordering, tracking stock levels, and organizing supplies. • Maintain breakroom area, ensuring cleanliness, proper stocking, and vendor coordination. • Coordinate catering and logistics for meetings and company events. • Welcome and assist visitors, providing a professional and hospitable experience. • Oversee workstation management. • Act as the liaison for office maintenance, construction, and relocation projects. • Ensure office equipment, including printers, is operational and maintained. • Troubleshoot technical issues and schedule preventative maintenance as needed. Qualifications and Attributes • Minimum of 1 year in an administrative or office support role. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). • Strong organizational skills with the ability to manage multiple priorities effectively. • Excellent verbal and written communication skills. • Proven ability to maintain confidentiality and anticipate office needs proactively. • Exceptional interpersonal skills with the ability to build positive relationships across all levels. • Customer service-oriented mindset with a friendly and approachable demeanor. • Adaptability and flexibility to handle shifting priorities and deadlines. • High emotional intelligence with the ability to remain calm under pressure. • Proactive problem-solving abilities and strong attention to detail. • Self-motivated, dependable, and capable of working independently or collaboratively. • Positive attitude and a willingness to go above and beyond to support the team. • Associates degree preferred. Additional Requirements • Ability to lift up to 50 pounds. • Reliable transportation for local errands (mileage reimbursed). • Availability during standard business hours. • Valid driver's license required.
