CLASSIFICATION TITLE: OFFICE ASSISTANT SENIOR
PURPOSE OF CLASSIFICATION
The purpose of this classification is to provide clerical support to an assigned department and/or program.
Work involves receiving and processing documents, preparing and/or typing records, reports, and correspondence; performing data entry and maintaining automated and manual files; and assisting callers, customers, and/or visitors.
ESSENTIAL FUNCTIONS
The following duties are normal for this position.

All duties may not be performed in all departments.
Other duties may be required and assigned.
Receives and reviews for completion department documents; verifies data;; and/or processes by matching/attaching to related documents and forwarding or disbursing.
Enters information into department programs and databases; updates database information; creates new spread sheets/titles; and purges old data as appropriate.
Answers department telephones; greets customers and visitors ensuring prompt customer service; provides assistance, requested documents, and information regarding department services and procedures to customers on the phone or in person; refers callers to other staff members as appropriate; and takes messages.
Accepts payments, records, documents, etc.
from customers; records recei pt of same; and prepares for processing.
Responds to public requests for bid documents; mails documentation as appropriate.
Receives forms, records, documentation, etc.
; logs/records information as needed and i ssues receipts if appropriate; forwards and/or files as necessary.
Type letters, memos, reports, summaries, and correspondence .
Creates and maintains spreadsheets to document departmental data to include, but not limited to Vendor Performance Evaluations Forms, Bid Tabulations, Annual Contract Master List and Web List.
Forwards renewal notices to using department and contractors and continually updates annual contract list for buyer's procurement process.
Prepares folders; maintains files of department correspondence, program records, various documents, etc.
; photocopies documents and distributes and/or files; and requests information from other departments, as necessary , to complete department records/files.
Receives and reviews various documents and requests; takes appropriate action when necessary; and forward and/or disburse as needed.
Assist with the Invitation to Bid (ITB) and Request for Proposal (RFP) process by sending out reference check forms and market analysis if necessary.
Scanning all bids/proposal into the e-file and preparing RFP Evaluation Handbooks.
Archive documents on an as needed basis.
Receives, opens, dates, and distributes incoming mail.
Prepare outgoing mail and fax documents as needed.
If applicable, orders office supplies as requested.
Receives, stores, and delivers documents, office supplies, records, etc.
Perform other related duties as required.
MINIMUM QUALIFICATIONS
High school diploma or GED; supplemented by five (5) months of clerical and/or customer service experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).
Tasks may involve extended periods of time at a keyboard or work station.
Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals.
Some tasks require the ability to communicate orally.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
