Seeking a dedicated and proactive Office Manager to oversee office operations and support 25-30 employees at the firm's headquarters. In this role, you will organize projects and assist the Finance, HR, Marketing, and Executive teams. This is a unique opportunity to contribute to a leading organization, collaborate with industry experts, and help foster a strong team culture. *The ideal candidate will have 0-4 years of administrative experience or a strong interest in launching their career at a leading commodities firm. In-Office Policy: 5 days in office Responsibilities: Coordinate and manage meetings, appointments, travel arrangements, and office events for executives and team members. Serve as the primary point of contact for internal and external communications, including handling emails, phone calls, and correspondence. Maintain office supplies, equipment, and ensure the office environment is well-maintained, coordinating with vendors as necessary. Prepare, edit, and manage various documents, such as reports, presentations, and correspondence, while maintaining company records, databases, and filing systems. Assist with budget tracking, expense reporting, invoice processing, and provide administrative support for projects, ensuring deadlines are met. Facilitate meetings by setting agendas, preparing materials, taking minutes, and manage client and vendor relationships, including contract coordination and issue resolution. Support HR functions like onboarding new employees, managing personnel records, and addressing employee inquiries. Ensure adherence to office procedures and policies, greet visitors, manage the front desk, and handle general inquiries. Job ID: 39718
