Position Summary and Responsibilities The Office Specialist within the Campus Activities Office (CAO) registers and provides logistical support for all on-campus events, programs, lectures, meetings, and assemblies. The Office Specialist facilitates interaction among members of the Vassar community by promoting and supporting a wide range of programs that contribute to the intellectual, cultural, and social well-being of our campus. This position reports to the Assistant Dean for Campus Activities and interacts regularly with faculty, staff, students, and people external to the campus.
Responsibilities Calendar and event management for all programs, events, meetings, and conferences occurring on campus. Work with academic, administrative offices, and student organizations to schedule, plan and implement events. Serve as primary power-user for EMS software on managing the campus calendar and all event reservation approvals. Submit work tickets using the TMA system or EMS for the successful coordination of all events. Provide bi-annual training for campus community regarding EMS scheduling systems and campus calendar. Provide clerical support for all contracts by maintaining files and faxing/scanning for all VSA and CAO contracts. Maintain key permission lists ensuring event organizers have access for approved room reservations. Assist in planning commencement and convocation. Serve as backup for Campus Activities Office Administrative Assistant as needed. Supervise a student assistant for scheduling needs. Qualifications Required Three to five years of administrative support experience or equivalent combination of education and experience. Demonstrated ability to work and communicate effectively with diverse constituencies and competence in oral and written communications. Tact, diplomacy, and the ability to exercise discretion and confidentiality are required, as is a demonstrated ability to exercise resourcefulness and professionalism while managing multiple tasks simultaneously. Strong time management and organizational skills, attention to detail, and the ability to apply independent judgment with limited supervision and instruction. Excellent computer skills and experience required, including Microsoft Word and Excel, Google suite of office tools, and database management systems. Ability to work occasional nights and weekends to support campus events. Preferred Associates degree or higher. Prior work experience in a College or University setting. Proficient in EMS and TMA software programs. Compensation Special Instructions to Applicants
