Job Posting Title: AK-Operations-Operations Analyst – Document Systems
Description: The primary purpose of this Operations Analyst role is to manage and optimize the transition of project documentation from project delivery to operations phase of the project. You will play a crucial role in ensuring the seamless transfer of critical information including technical engineering documentation, with a keen focus on document systems and data automation.
Responsibilities:Lead the transition of engineering and technical documentation from project delivery to operations.Oversee the efficient handover of specifications, technical manuals, and as-built drawings, collaborating closely with project teams and operational stakeholders to enhance the document transition process.Conduct comprehensive analyses of information and documentation within production systems, identifying opportunities for optimization and ensuring alignment with project deliverables.Collaborate seamlessly with cross-functional teams to integrate emerging technologies into existing information and documentation systems.Lead the evaluation and recommendation of new technologies that enhance information and document management.Develop comprehensive strategies for the effective integration and ongoing lifecycle management of information and documentation systems.Conduct risk assessments related to information and documentation systems, ensuring compliance with industry standards and regulations.Develop and implement robust strategies to mitigate risks associated with information and documentation transitions and system integrations.Implement robust monitoring systems to track the performance of information and documentation systems.Generate comprehensive reports on key performance indicators, providing actionable insights into the health and efficiency of information and documentation processes.Foster and drive a culture of continuous improvement within information and documentation systems operations, capitalizing on best practices and deploying innovative solutions.Collaborate with cross-functional teams to implement improvements and refine processes, ensuring optimal performance of information and documentation systems.Assume a role as a liaison between project delivery and operations teams, fostering effective communication and knowledge transfer specific to information and documentation systems.Facilitate tailored training sessions to ensure personnel are proficient in leveraging updated information and documentation systems.Proactively provide training and comprehensive support to personnel on new information and documentation systems, processes, and documentation procedures.Create a culture of knowledge sharing and continuous skill development within the organization.Skills / Technical Competencies:Strong technical competency in integrating information systems, including experience with API integrations, and ensuring seamless interoperability between different software applications to enhance the efficiency of document management processes.Mastery of document control software platforms such as SharePoint, Aconex, Omega PIMS DCS, Hexagon SmartPlant (myPlant), or similar systems, with the ability to effectively utilize and customize these tools for optimal document management within the oil and gas sector.Proficient in data analysis tools and reporting mechanisms, enabling the extraction of meaningful insights from large datasets related to document systems.The ability to generate comprehensive reports on key performance indicators and trends is crucial for informed decision-making.In-depth understanding of industry-specific regulations and compliance standards related to document management in the oil and gas sector.Ability to ensure that document systems adhere to regulatory requirements, including data security and confidentiality standards.Experience:Proven experience in developing and implementing document management systems within the oil and gas industry, demonstrating a deep understanding of best practices, compliance standards, and technologies relevant to efficient documentation processes.Demonstrated success in collaborating with diverse teams, including project, operational, engineering, and IT departments, showcasing the ability to bridge communication gaps, align documentation processes with organizational objectives, and foster a culture of continuous improvement across departments.
