Job Purpose

Provide support to the Operations team, owning several key programs that are essential to day-to-day operations, utilizing cross-functional expertise in a fast-paced environment. Execute the ongoing administrative functions of the front office.

Essential Functions

Safety/Environmental

Coordinate and support safety and environmental programs
Participate in safety committee meetings, track meeting minutes and monthly inspection checklists
Schedule and coordinate Safety trainings and activities
Manage first-aid supplies (US Compliance)
Attend environmental meetings/audits, take minutes and send action item reports
Coordinate annual Safety shoe program
Oversee uniform program
Schedule annual hearing tests, fit tests, industrial hygiene and dust assessment
Manage LOTO certifications and recert log
Office/Admin

Oversee inventory, ordering and organization of office and operations supplies
Maintain and organize kitchen supplies
Update communication boards with up-to-date information
Coordinate lunches for visitors and meetings
Greet and direct unsolicited visitors
Prepare outgoing mail and sort and distribute incoming mail
Assist with scheduling pickup orders with Fed Ex and USPS
Oversee document storage and shredding program
Manage Avanti market program
Activities involvement team member
Finance/AP

Issue PO's and receiving for utilities, uniforms, supplies/multiple vendors
Resolve issues related to supplier non-payment
Maintain contractor safety records including certificates of insurance for vendors
Reconcile temp labor hours to match billing
Point of contact for past-due invoices, Rise AP and vendors
File renewals and maintain log of all business licenses, permits, inspection reports and certifications
Other

Comply with all food safety requirements, trainings, policies, and procedures
Perform other job-related duties as assigned

Qualifications (Education, Experience, Competencies)

3-5 years administration experience preferably in a manufacturing environment
Proficient in Microsoft Office Programs
Ability to maintain confidential information
Ability to effectively communicate with multi-level personnel as well as suppliers, customers, and their representatives
Ability to work cross-functionally, convey complex issues, and maintain confidentiality
Ability to organize, manage multiple priorities, and maintain high attention to detail in a fast-paced environment
Ability to think quickly and handle frequent change
Self-motivated, goal oriented, quality driven, and capable of working independently with minimal supervision


Monday - Friday 8:00 am - 4:30 pm


Nominal Salary: To be agreed
