Company: Massachusetts Association of Approved Private Special Education Schools (MAAPS) Job description:  The Massachusetts Association of Approved Private Special Education Schools (MAAPS) is seeking a highly motivated and collaborative Operations Coordinator & Policy Researcher to oversee activities related to the efficient and productive operation of the office and assist with research needs of the Association. About MAAPS: For over four decades, MAAPS has been the professional membership association for the approved, private, special education schools in New England.
As Massachusetts' statewide voice for schools serving students with special needs, MAAPS provides an array of services to its members schools, including advocacy, education and training, research and analysis.

The Programs and the Role: MAAPS' Operations Coordinator & Policy Researcher will play a critical role in working with staff to ensure the realization of MAAPS' longstanding mission and new strategic plan.
As the Operations Coordinator & Policy Researcher you will be the driving force behind office management and supporting the Executive Director's work.
As MAAPS is a small team, you will have the opportunity to work directly with all our initiatives and programs. Responsibilities of the Operations Coordinator & Policy Researcher: ·                    Operations: This position is responsible for ensuring that the Association runs smoothly by managing logistics.
Examples: plan purchases, company meetings, negotiate contracts, oversee scheduling, monitor projects and equipment, ensure deadlines are met, organize zoom meetings and related communications.

Coordinate internal and external meetings, including onsite and off-site meetings, development of PowerPoint presentations for internal and external meetings.
Assist in the management of day-to-day schedules

Production of correspondence and member communications, meeting notices, etc.
and send to members by their preference (email or mail) through database.
Screen, sort and file mail, handle routing calls.
Maintain filing system and revamp or archive as required filings.

·                    Board of Directors: This position assists the Executive Director with the Board of Directors, including: maintaining Board Officer membership records; assisting the Executive Director with Board preparation including meeting materials preparation; securing location and refreshments for all regular in-person Board meetings; and compiling materials and handouts for Executive Committee meetings, Board of Directors' meetings and other committee meetings.
·                    Policy Researcher: Monitor and analyze educational issues at the state and national level.
Assume writing duties on educational issues and additional related writing as assigned including policy briefs.
Other duties as assigned by the Executive Director.

·                    Budget: Assist the Executive Director in budget creation & implementation
·                    Human Resources: Assist the Executive Director in the development/implementation of office policies and procedures; and assist with human resources functions in a small non-profit organization
·                    Stakeholder Engagement: Respond to districts, state, parents, advocates, etc.
by providing information on schools, directories, MAAPS services.

·                    Resources: Support MAAPS members with questions regarding job postings, and other resources.
Creates and maintains up to date district contact information.
·                    Office-space operations: Liaison with landlord regarding repairs as needed; monitor leases; Coordinate with office vendors, service providers and building management as needed.
Supervise and arrange for maintenance of all office equipment.
Maintain office supply inventory and replenish/order as needed; research different companies to obtain most cost-effective purchasing; arrange for equipment repair as needed. Handle incoming & outgoing mail including coordination of shipments and deliveries
·                    Membership: Support the Director of Membership in membership matters.
Support the Director of Membership with the annual awards.
Maintain membership groups and excels supporting membership.
Event management & assistance: assist the Director of Membership with Association events and meetings.
Order catering for various meetings and events
·                    Assist with other organizational needs
Team & Structure: Your Team: You will work with the Executive Director, Director of Membership, and Business Manager as part of the team.
Your Reports: You may supervise fellows or interns. Your Supervisor: You will be supervised by Elizabeth Becker, Executive Director.

Time management and flexibility with job duties and can exhibit follow through on tasks and goals. ·                    Enthusiastic vision for and commitment to education that meets the needs of supporting the membership and their representation of a diverse population of learners and educators. ·                    Data driven with experience implementing tools to evaluate, measure and track program outcomes and impact ·                    A demonstrated commitment to social justice, culturally responsive programming, and DEI ·                    Exceptional written and oral communication ·                    Proficiency with google, Microsoft Word and Excel, database and spreadsheet proficiency.
QuickBooks and/or Paychex experience a plus.
Work Environment: Our office is currently located in Stoneham at 92 Montvale Ave. We embrace a hybrid work approach, combining the advantages of face-to-face interactions with the flexibility of remote work.
For this role, in-state travel to meet with members and staff is required.
You will typically work at the office location two or three days a week.
You will also help the team during events throughout the year.
You must have a current valid driver's license, and having a vehicle is preferred, but not necessary, but ability to attend meetings at various locations throughout Massachusetts is needed.
