Operations Manager, Forbes House Museum Job Responsibilities About Forbes House Museum: The Forbes House Museum (FHM), built in 1833, is a historic Greek revival mansion designed by renowned Boston architect Isaiah Rogers. The house was built for Margaret Perkins Forbes by her sons, Robert Bennet Forbes and John Murray Forbes, who earned much of their wealth in the early American China trade. Their business, philanthropy and civic involvement contributed to our history at the local, national and even international levels. Four generations of the family lived in the house up until 1962. The house became a museum in 1964.
The Museum collection comprises Chinese export porcelain and silver, and American, European and Chinese art, artifacts and furniture. It also includes Mary Bowditch Forbes's collection of President Lincoln and Civil War artifacts and memorabilia; Mary even had a replica of Lincoln's log cabin built on the grounds of the estate, which continues to welcome visitors today. The Forbes House Museum is located on Milton Hill, overlooking the Boston city skyline, Neponset River Marshes and Boston Harbor. It has 6.5 acres of property and a carriage house and barn currently undergoing extensive restoration work. Once the work is complete, the building will house new office space and flexible event space.

Learn more by visiting: www.forbeshousemuseum.org About the Role: The Operations Manager (OM) is a critical position that keeps the museum running smoothly by maintaining accurate records, processing payments and correspondence, facilitating events and programs, and overseeing the preservation and maintenance of the buildings and grounds. The OM will be a key member of a three-person team at FHM at a pivotal point in time, as we embark on an ambitious capital campaign that will dramatically reshape the museum's place in the community, and financially position the museum for long-term stability and success.
To be successful in the role, the OM will be someone who takes initiative, is able to prioritize and effectively multi-task, and is a flexible team-player.
Primary Responsibilities: Administrative Keep vendor lists and manage the purchase of office, building, program and other supplies. Serve as the first line of contact for Museum phone calls, incoming emails and other correspondence. Respond to inquiries from the website. Manage shared drive – keep it organized and up to date, accessible to all staff with passwords, vendor files, event information, photos, meeting materials, and other Museum documents. Coordinate materials and communications for quarterly board meetings. Building & Grounds Maintenance Perform annual buildings and grounds maintenance reviews and address needs as necessary. Oversee large building maintenance projects and track workers on the property. Meet with appropriate companies for Landscaping and Grounds maintenance. Tackle small maintenance issues (e.g., putting out trash, changing light bulbs, changing heat filters, monitoring heaters). Manage building permit inspections, including Lift maintenance and inspections. Financial Bookkeeping Maintain accounts receivable and accounts payable. Use QuickBooks to pay bills. Support accurate and timely recordkeeping of items for budget and other financial reports, working closely with accountant. Organize and track receipts and invoices. Generate income and expense reports for all programs and events. Programs and Exhibitions Support Assist the Director and Assistant Director in the planning and implementation of programs and exhibitions, and others as relevant. Work with appropriate staff to install and de-install exhibits including organization of storage and labeling. Assist with recruitment and organization of volunteers for programs, tours, events and other tasks that support the Museum. Work with student interns to accomplish assigned tasks as appropriate. Events Support Oversee the production and distribution of all print materials and event photos (postcards, invitations, fliers, reports, calendar inserts, advertising graphics, etc.). Represent the Museum at events on evenings and weekends. Qualifications and Expertise: The Operations Manager will have a relevant bachelor's degree or a commensurate amount of years of experience in a related field, demonstrating the ability required to support a non-profit organization. Office or small business organizational skills, the ability to manage multiple projects, and a strong attention to detail are important qualifications for this position. Database tools experience is also important for this role. Experience using QuickBooks is a plus.
This is a full-time position, with the need from time to time to be working certain evenings and weekends to support Museum events. Salary is market competitive and commensurate with experience and education. Includes health benefits and paid vacation and sick time off.
