The Role Xos is hiring an experienced Parts Specialist responsible for developing and implementing effective parts planning and inventory strategies that continue to meet competitive market demands while achieving corporate service parts operation objectives. Monitor service repair and parts sales actions to evaluate and recommend appropriate solutions and improvements. The Parts Specialist ensures service technicians and customers have an adequate supply of service parts. Monitor inventory, work with vendors to get correct parts, and help customers find necessary materials. Maintain records of all parts transactions to ensure they comply with company guidelines and stock records remain updated currently.
The position manages the parts inventory to meet the KPIs, prepares the systems to manage demand forecast, inventory, purchase order, lead time, and safety stock together with IT, and communicates with all internal teams and external vendors to improve customer experience by higher fill rate of service parts. Responsibilities Ensure parts are available and prepare parts orders for XOS service centers and customer workshops. Look up parts in the system and provide logistical support to XOS service centers or customer workshops in the delivery of service parts they need for XOS vehicle repair. Accurately record all parts transactions and data into the XOS system. Develop annual and long-term objectives and strategies of service parts planning and inventory, which maximize parts sales and service penetration and dealer purchase loyalty, monitor subsequent performance against plan, and take remedial action. Manage part sales and service repair data effectively to provide advanced analysis and business solutions to support the inventory and parts sales improvement, and to anticipate future supply and logistical needs. Work with internal and external customers and suppliers to ensure all parts reach the correct team promptly. Analyze each part in collaboration with Supply Chain for reorder selecting the appropriate order type: Sea, Air, VOR, Transfer, and Surface, to ensure each parts distribution center and service center have the correct inventory level, and backorders do not occur. Place orders with correct quantities to replenish stock, avoiding insufficiencies or excessive surplus, and provide higher fill rates. Evaluate suppliers to achieve cost-effective deals and maintain trust relationships with suppliers and clients. Review parts with critical supply levels and take appropriate action to avoid backorders and expedite products. Resolve VOR (vehicle off-road) conditions with aggressive action. Report inventory management performance periodically and discuss improvement plans for supply chain progress and procedural efficiency.Prepare systems for demand forecasting, ordering, inventory management, pending PO management, lead time, safety stock, target fill rate, and system connection with dealers and customers. Manage the Service Parts Operation KPIs per the business needs. Perform maintenance to product line code files, key sales product code files, and tables. Assign proper codes to each part number in relation to inventory and sales categories. Interface with regions, dealers, and customers to research and respond to their requests in relation to parts supply and sales Perform other duties as assigned that support the overall objective of the position. Qualifications Professional-level knowledge and experience of principles and practices involved in service parts business planning, parts marketing, parts sales strategies, data analysis, database management, forecasting methods, inventory management systems, and ERP. An analytical mind with strong math skills to accurately track sales & inventory and create reports and devise ways to optimize inventory control procedures with expert-level database management capability. Work independently and under pressure of deadlines, handle multiple priorities, and pay close attention to detail. Excellent verbal and written communication skills to allow effective interaction with all levels of the organization. Seven to ten years of experience working in a fast-paced automotive OEM environment with emphasis on Parts Supply & Inventory Management preferred. Strong knowledge of Microsoft Office including Excel, Access, PowerPoint, Lotus Notes, and CAD system. Effectively communicate at all levels both written and verbally with people inside the organization and external customers. Ability to work overtime and/or nonstandard hours as needed. While performing the duties of this job, the employee is regularly required to talk and listen. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms; lift and move boxes and service parts for quality inspection, inventory audit, cycle count, returns, parts packing, and shipping arrangements, etc. Work Environment This job generally operates in a professional office and parts warehouse environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and some warehouse equipment if needed such as pallet and pallet jacks, etc. The employee is occasionally exposed to a variety of extreme conditions at job sites. The noise level in the work environment and job sites can be loud.
