We are currently seeking an experienced and dedicated People Operations/Talent Acquisition Coordinator that provides high level support and coordination to the People Operations and Talent Acquisition teams.
This is a fast-paced position requiring you to have strong proficiency with systems and data as well as standard office efficiency suites, including Excel and Outlook.
Our ideal candidate has prior human resources and recruiting experience, in addition to excellent organizational and communication skills.


Responsibilities: People Operations Support First point of contact for employee inquiries - general questions on policy, benefits, etc.
Redirect and escalate employee inquiries as appropriate.
Complete EDD forms within 24 hours of receipt.
Facilitate the completion of employment verifications.
Initiate employee status change request, route for approvals.
Maintain employee files, including scanning documents to digitize.
Maintain employee I-9's and audit files monthly.
Provide administration and reporting of employee data- (Birthday & anniversaries, headcount, hierarchy, supervisors, etc.).
Manage employee demographic changes in HRIS (DD, W4, address changes, etc.).
Prepare and send out offer letters.
Conduct pre-employment background screenings for candidates.
Conduct first day new hire orientation, including data entry pre and post hire.
Support new hire set up and orientation activities - Nova time , E-verify, ExakTime, etc.. Order business cards for new hires.
Reconcile and fund benefit invoices under the guidance of the Total Rewards Specialist.
Support wellness program activities.
Support open enrollment activities under the guidance of the Total Rewards Specialist.
Support Total Rewards Specialist in administering and tracking employee leave of absences.
Provide support to Total Rewards Specialist in administering employee Motus program.
Support audit processes (gathering data, etc.
for 401(k) and other audits).
Process annual union pay increases.
Validate background check status for projects.
Talent Acquisition Support: Administer and maintain applicant status, workflow disposition, training and sharing system updates in our ATS, Jobvite.
Import Resumes/input data for all candidates sourced as well as all applicants and employees in Jobvite on a weekly basis.
Generate reports and analytics related to HR and talent acquisition activities upon request.
Coordinate, schedule, and host candidate interviews, both in-person and virtual, prepare and distribute interview packets ensuring that all parties involved are well-informed and prepared.
Collect and scan interview documents.
Assist Talent Acquisition Specialist in the coordination and execution of our College Recruitment Program.
Assist Talent Acquisition Specialist in the coordination and execution of our College Summer Intern Program.
Coordinate and support the execution of XLI's participation in the ASC Reno Competition.
Assist TA Manger in the development and implementation of our Community College Program.
Administer and track XLI's Employee Referral Bonus Program Campaign.
Coordinate with internal and external marketing teams in developing marketing materials for our recruitment programs and new hire swag.
Provides support for People special events.
Other duties and projects, as assigned.
Knowledge, Skills, and Abilities: BA/BS Degree 3+yrs HR Administrative and/or Data Entry experience (prior experience in Recruiting is preferred) Proficient with Microsoft applications to include excel spreadsheets e.g., pivot tables Experience with Webex, Smartsheets, and Asana is a plus Excellent organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively Strong attention to detail and accuracy in data management and documentation Familiarity with social media, especially LinkedIn Excellent communication, and problem-solving skills Strong interpersonal skills and results oriented Integrity and confidentiality Team player and able to work in a fast-paced environment Client service focus with a 'can do' attitude and outgoing personality
