Tukwila Police Department is a full-service law enforcement organization that consists of 77 commissioned officers and 23 non-commissioned support staff. The Tukwila Police Department is currently seeking applications to establish an eligibility list. As a Police Administrative Assistant , this position will perform a wide variety of confidential, administrative, financial, technical, and programmatic duties. The Police Administrative Assistant participates in the development, implementation, and administration of policies, procedures, and programs for assigned areas as well prepares a variety of fiscal, administrative, and operational reports, and serves as a liaison with other departments and staff, outside agencies, and the public. Essential Duties and Responsibilities Handle the distribution, exporting, or shipping and receiving of internal city, departmental, and external mail, documents, correspondence. Create, maintain, and update schedules including handling all related correspondence and documentation for implementation of schedules, such as shift bid notices, opening and closing dates, and vacation bids, notices, and requests. Assist the Police Department with the creation, editing, and review of various documents including memorandums, budget proposals, shift schedule changes, position assignment notifications and routine forms. Acts as confidential assistant to Command Staff to perform administrative duties associated with the handling of sensitive information, such as Internal Investigations. Enter queries, reconcile data, and maintain departmental records such as purchasing receipts, monitoring the King County Jail's DBIS System, billing of the transfer of Tukwila PD inmates, jail records for department's holding cell and bi-annual jail use reports. Organize and track the various documentation created by Police Department staff. Track documentation needing the Commanders processing and approval. Act as a liaison to the Fleet Services Division on matters regarding records, maintenance requests, and other administrative inquiries related to police vehicles. Assist the Commanders in maintaining their schedules. Makes travel or event arrangements. Assist with event planning and coordination in matters affecting the Police Department. Assist in researching information in Justice, Linx, Rain, DOL, NCIC and other related databases. Will become familiar with, follow, and actively supports the mission, vision, values, policies, and procedures of the Tukwila Police Department. Maintain reasonable, predictable, and regular attendance during the assigned work week hours. Knowledge, Skills and Abilities KNOWLEDGE (position requirements at entry) : Grammar, spelling, and punctuation File maintenance Customer service techniques Basic terminology used in the Law Enforcement field Basic financial accounting; and Office practices and procedures. SKILLS (position requirements at entry) : Creating and maintaining file systems Applying customer service techniques Taking minutes and transcribing notes Scheduling meetings and appointments Proofreading Paying attention to detail and accuracy Keyboarding at 50 wpm Performing basic mathematical calculations Using standard office equipment Using computers, relational databases and software applications Communication, both oral and written, sufficient to exchange or convey information and to receive work direction Education, Experience and Other Requirements TRAINING, EXPERIENCE AND LICENSING REQUIREMENTS (Position requirements at entry): (A) A High School Diploma or General Equivalency Diploma (GED) and two years of experience related to office support functions; or (B) An equivalent combination of education and experience which provides the knowledge, skills and abilities sufficient to perform the essential duties of the job. A valid Washington State driver's license, or the ability to obtain one prior to employment. ACCESS level I certification required within 6 months of hire. This position is subject to a comprehensive backgrounding process including: personal background investigation, polygraph exam, psychological evaluation, and a drug screen. PHYSICAL ACTIVITY/REQUIREMENTS: Positions in this class typically require: stooping, kneeling, crouching, reaching, mobility, fingering, grasping, talking, seeing, hearing, and repetitive motions. Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting, most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met. Some positions may require greater periods of walking and/or standing. OTHER REQUIREMENTS - Automatic Disqualification barring employment in the City of Tukwila PD:
Any adult felony conviction on current criminal record at time of application; Any juvenile felony conviction within the past five years; Conviction of any crime of violence, including domestic violence; Commission of any sexual offense within the past 10 years; Any conviction of a felony crime at any time while employed in any capacity with Law Enforcement Agency (including volunteer, intern, Explorer, and reserve positions); Any theft of property or money within the last five years; Any conviction for a sex related crime; Ever having to register as a sex offender, regardless of conviction status; Any conviction for solicitation of prostitution; Any misdemeanor convictions for crimes not specifically stated above will be reviewed on a case-by-case basis Drug Use: As an adult, convicted of any felony drug crime; Marijuana: excessive use within the past 12 months. Marijuana use will be reviewed on a case-by-case basis Used hallucinogens (including GHB and ecstasy; excludes mushrooms), cocaine, methamphetamine, or opiates within the last 10 years; Usage of any other illegal drug, including steroids and prescription abuse, will be reviewed on a case-by-case basis; Have illegally used 4 or more different controlled substances, including marijuana, in the last 10 years; Have at any time manufactured, transported or cultivated illegal drugs (including marijuana) for the purpose of sale or distribution; Have used any illegal drugs while employed in a criminal justice capacity; Have ever obtained or used a prescription drug under false pretenses; Have ever, at any time, injected amphetamines, methamphetamine, cocaine, heroin, barbiturates, or valium; Have ever illegally used a drug after submitting an application to any Law Enforcement Agency; Have ever sold or distributed illegal drugs, including marijuana; Any more than two drug convictions for any of the narcotics listed above. Traffic Record: Any criminal traffic conviction within the past 5 years. Violation examples include, but are not limited to: driving under the influence (DUI), reckless driving, negligent driving, or hit and run driving; Suspension or revocation of your driver's license (for any traffic violation) within five years of the date of the employment application; Any more than two criminal convictions for traffic related offenses. Financial Record: Any willful failure to pay income tax or court ordered child support is disqualifying; A credit check will be conducted regarding your financial history Military Record: Must have been discharged from the Military under honorable conditions. Any discharge other than honorable will be evaluated on a case-by-case basis. Potential Disqualification: Any applicant who maintains an on-going relationship with individuals who are criminals and/or who are reputed to be involved in recent or current criminal activity; An applicant's criminal record, including all arrests, prosecutions, deferred prosecutions, "Alford" pleases, and non-conviction information will be thoroughly assessed and may be grounds for disqualification; Commission of any crime (non-conviction).
