WHAT YOU WILL WORK ON
Objective
To establish a Portfolio Operations Coordinator role that enhances the oversight, efficiency, and execution of portfolio management activities for the AIC DC and NSRL team. The coordinator will help support full team (director and 2 portfolio managers) by specifically diving into the day-to-day operational excellence tasks, ensuring smooth flow of information across teams.
The Portfolio Operations Analyst will work closely with portfolio managers and other team members to support the day-to-day operations of the team. This role involves data analysis, milestone tracking and reporting, and ensuring operational efficiency between the two teams. The ideal candidate will have strong attention to detail, excellent written and communication skills, and the ability to work collaboratively with cross-functional teams.
Key Responsibilities:
1. Enablement of Team Communication:
Act as a key point of contact between portfolio managers to ensure timely and effective communication.
Provide regular updates and reports to manager and team members.
Ensure clear and proactive communication.
2. Operational Coordination:
Coordinate with multiple teams to ensure smooth execution of daily portfolio operation.
Assist in the preparation of operational documentation and materials for meetings, ensuring clarity and completeness.
Proactively identify and address bottlenecks in operational processes, working closely with teams to resolve issues.
3. Process Improvement:
Develop and implement process improvements that enhance communication and workflow efficiency within the team and across departments.
Organize regular feedback sessions with internal teams to identify areas for operational enhancement.
WHAT YOU BRING
Qualifications:
Bachelor's degree in Business, Communications, Finance, or a related field.
5 – 10 years of experience in an operational, client-facing, or support role in a financial or business setting.
Exceptional written and verbal communication skills, with the ability to present complex information clearly and concisely.
Comfortable in ambiguity
Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
Keynote preference.
Proficiency in Microsoft Office (Excel, Word, PowerPoint)
Ability to collaborate effectively with diverse teams and maintain positive relationships with external stakeholders.
Preferred Skills:
Airtable
Experience in a client services or operations role with a focus on communication.
Familiarity with portfolio management data tools (helpful but not required).
A proactive approach to problem-solving with strong interpersonal skills.
Expected Outcomes
1. Increased Efficiency: By having a dedicated Portfolio Operations Coordinator, the administrative tasks on the full team will be reduced, allowing for greater focus on strategically important and relevant tasks, while ensuring day-to-day operations are met.
2. Enhanced Communication: Centralized communication efforts will foster stronger alignment between the two teams (both internally as well as to the teams themselves), ensures deliverables are kicked off in a timely, thoughtful and thorough manner.

Stronger Operational Excellence: The role will act as a overall owner for our third pillar: "Partner with our teams to deliver transparent, accurate, and consistent Portfolio Management, build timely and effective Processes and drive the execution of our day-to-day portfolio work through Operational Excellence."
