Position Title Professional Expert (Event Coordinator)
Special Instructions to Applicants DEFINITION
To plan, coordinate, develop, implement, and facilitate events for large-scale college-wide and community engagement ensuring smooth execution in alignment with the institution's mission.
DISTINGUISHING CHARACTERISTICS
This professional expert is responsible for organizing and managing the daily operations of events, ensuring compliance with district and state guidelines, and collaborating with multiple departments to execute large-scale programs.
EXAMPLES OF DUTIES
Duties may include, but are not limited to, the following:
Plan and execute college events, including social and cultural gatherings, celebrations, and special activities. Coordinate logistics such as venue setup, technology needs, decorations, catering, and registration, guest parking, and staffing.
Ensure accessibility of events. Provide oversight and serve as a point of contact leading up to and throughout the event, as necessary. Manage budgets and ensure cost-effective resource use. Prepare promotional materials and publicize events via social media, email, and flyers in coordination with Marketing and Communications. Collaborate with departments, vendors, and external partners; convene preparation meetings as needed. Evaluate event effectiveness and implement improvements. Train and oversee student assistants associated with events. Create, maintain, and implement a college cultural calendar developed in collaboration with affinity groups, learning communities, and broader college. Manage associated repository of event materials. Perform related duties as assigned. MINIMUM QUALIFICATIONS Skill/Ability to: Design, develop, and implement engaging events. Organize and prioritize tasks under pressure. Communicate effectively and work collaboratively with diverse college stakeholders. Track budgets, generate reports, and provide administrative support. Exercise independent leadership to execute events. EXPERIENCE AND TRAINING
At least one year of the equivalent of full-time paid experience in event coordination, preferably in a college environment.
Demonstrate understanding of, sensitivity to, and respect for the diverse academic, socio-economic, race, ethnicity, gender identity, sexual orientation, age, politics, philosophy, disability, and religious background of all students, faculty and staff.
EDUCATION / LICENSE OR CERTIFICATE
Possession of an Associate degree from an accredited college, such as business administration, marketing, or hospitality management is preferred, or equivalent.
Possession of, or ability to obtain, an appropriate, valid California driver's license.
Perform light physical labor, including lifting and moving items weighing up to 20 pounds.

Deferred Compensation: The District offers two optional deferred compensation plans.
Eligible employees have a choice of the 457, 403b plans and a selection of savings and investment options.
Leave Allowance: The District offers monthly eligible classified employees and managers/supervisors a generous vacation and sick leave benefits as well as 20 paid holidays annually (which can vary based on length of winter break).
Additional Benefits: The District also offers monthly eligible classified employees and managers/supervisors educational reimbursements, employee assistance programs, a travel assistance plan, longevity compensation, retiree benefits, employee discounts on health memberships and a comprehensive wellness program.
Newly hired employees may notify the respective union (Local 1 or United Faculty) if they opt to join and/or authorize payment to the union.
If the newly hired employee authorizes payment to the union then the following fees apply: Local 1 has a one-time initiation fee of $45.00 and monthly contribution of 1% of gross pay +$1.
United Faculty has an agency fee of .55% of gross pay plus $2.50.
