POSITION STATEMENT: The Program Assistant facilitates the efficient operation of the program by performing a variety of clerical and administrative tasks supporting the needs of the program.RESPONSIBILITIES OF THE JOB AND ESSENTIAL ELEMENTS:Direct Duties: The Program Assistant will be responsible for the following:Greet clients in a caring, friendly, and welcoming manner at each interaction, whether it be in person or via telephone. Verify patient demographics and insurance information at point of service. Determine, document, and collect co-payments from clients at point of service, along with any other fees that may be owed. Complete all consents for incoming clients upon arrival. Complete the Intake Spreadsheet for each new client on their day of arrival and forward this document to the MOA daily. Schedule clients with clinicians and providers when appropriate and monitor provider's schedules. Track incoming patients in Methasoft for dosing.Answer phones in a friendly and professional manner, identifying oneself to the caller upon answering the call; retrieve and respond to phone messages in a timely manner, to include notifying clinicians and providers of calls regarding their clients needs. Schedule and conduct drug screens according to regulations and program requirements.Upload documents into confidential patient charts.Create charts through POE for new admissions.Create continuing numerical issues of patient files as needed; retrieve charts for returning patients.During Intakes, coordinate with Intake Team to direct patients to appropriate staff and monitor patient behavior and condition.Supply sign-in sheets for staff meetings and trainings.Distributes necessary information to patients. i.e., handbook.Interact with patients in a professional manner.Other duties as assigned by supervisor. Other Responsibilities:Displays a competent knowledge of Agency policy and procedures as well as Federal and State Regulations. Keeps current with available resources.Encourages staff/clients while demonstrating self-initiative in problem solving. Assist in the development of data collection and analysis of the quality improvement projects.Maintains confidentiality, proper boundaries and an ethical relationship with clients and co-workers accordingly to Company's policies and as their Delaware Professional Board regulations.Ensures all client records are maintained according to agency standards, policies and procedures.Engages in professional development. Responsible for keeping current in the field. Completes seminars and/or continuing education programs, as appropriate to update knowledge about addiction and mental health services.Ensure client's file documentation and other reports are up to date.Completes annual educational program as required.Participates in the development of quality improvement activities designed to enhance agency and program services.Engages in professional development. Responsible for keeping current in the field by attending agency trainings. Performs other duties as discussed and agreed upon. MINIMUM EDUCATION AND EXPERIENCE QUALIFICATION REQUIREMENTS: High School Diploma or GEDMinimum one years' experience working with Substance Abuse and/or Behavioral Health clients.CPR CertificationREQUIRED SKILLS:Ability to deal with diverse populations.Ability to route patient's problems and concerns to appropriate sources.Ability to stay within boundaries of the role and function of position.Critical thinking skillsOrganizational skillsCommunication skillsAbility to evaluate and comprehend techniques, procedures and changes to meet variable situations.Able to effectively communicate with supervisors and directors to improve his/her skills and adapt to Agency culture and policies.
