Job Description
Under general supervision, the Program Assistant provides standard program and clerical support to the Expanded Food and Nutrition Education Program (EFNEP), and other extension program initiatives with a focus on the greater Houston area, the AgriLife Harris County Director, Extension Agents, and other Family and Community Health (FCH) staff with Prairie View A&M University's Cooperative Extension Program (CEP).
This position is funded by a grant or restricted funds.
Continued employment is contingent on the renewal of grant or restricted funding. This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.
Responsibilities: Manages all office procedures and other tasks as assigned and requested, including the preparation of correspondences, documents and reports; manages all incoming and outgoing communications and inquires for the office and serves as the initial point of contact for program participants regarding outreach and educational opportunities; Coordinates appointments, itineraries and schedules for EFNEP Program Coordinator, Extension Agents and Nutrition Education Associates.
Assists with the development of educational content and with developing and implementing marketing strategies for program promotion, including development of news releases, newsletters, flyers and brochures; assists with content, design layout, original graphic design formatting and formatting of publications, presentations and workshop resources; provides photography, videography and social media outreach services for EFNEP activities; Works toward raising awareness of EFNEP and other extension outreach programs and updates mailing lists/listservs; maintains departmental website and calendar of events and communicates relevant information for external website updates.
Maintains the EFNEP data management program; assists program staff with web-based research, collecting data and the preparation of internal and external reports for grant monitoring and reporting activities; assists in the preparation of the EFNEP annual report; assists with program planning and collection, review and processing of enrollment and/or volunteer forms.
Coordinates business travel and itineraries for program staff as requested; makes university credit card purchases and reconciles purchases; creates purchase requisitions and receiving actions in the purchasing system; maintains proper inventory of office supplies and equipment; maintains detailed records and organizes files for safekeeping, accessibility, documentation and retention purposes according to program, university and system guidelines.
Participates and assists in college-wide events, activities, committees, and performs other duties as deemed necessary.
Required Education and Experience: Bachelor's degree or equivalent combination of education and experience.
No prior experience required.
Required Knowledge, Skills and Abilities: Knowledge of word processing and spreadsheet applications.
Verbal and written communication skills.
Ability to multitask and work cooperatively with others.
Ability to work with sensitive information and maintain confidentiality.
Strong interpersonal and organizational skills.
Other Requirements: Must maintain a valid driver's license to drive a university vehicle for off-campus programs.
Must be able to lift light to moderately heavy objects for program setup.
Some travel is required, must be available for some overnight stays as well as some evening and Saturday work.
Must be able to maintain an organized and professional office space and appearance at all times.
Special Requirements: Applicants with equivalent experience in lieu of a Bachelor's degree may be considered.
One year of the related experience is the equivalent of one college year.
Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience.
