Job Description
The Program Assistant, under general supervision, provides complex administrative support to the Small Business Development Center (SBDC).
This Program Assistant is granted funded position.
Continued employment is contingent on the renewal of grant funds.
This position will pay between $15.25 - $22.00 per hour depending on qualifications and experience of chosen candidate.
Responsibilities: Plans and delivers seminars, conferences, and workshops to meet the educational needs of PVAMU SBDC small business clients.
Assist in managing projects from concepts to evaluation which includes contracting instructors, selecting co-sponsors and informal marketing a venues, materials production and course evaluation and revision.
Compose and prepare professional reports and correspondence.
Prepare mail merges and use other database software applications.
Perform initial client intake services by completing the intake form either by phone or face-to-face contact with potential client.
Participate in SBDC special projects and project planning.
Assist in managing financial data for SBDC such as tracking expenses and program income.
Responsible for SBDC client intake sessions, participation in and assisting Director with developing and scheduling training workshops/events to include, posting to SBDC website, confirming workshop presenters, arranging advertisements in local newspapers and media outlets, database creation and management.
Provide marketing support for the program by promoting the program through social media, e-newsletters, website, e-mail marketing, and other marketing methods.
Other administrative duties such answering calls, client file management, & office organization.
Required Education and Experience: Bachelor's degree or equivalent combination of education and experience.
No prior experience required.
Required Knowledge, Skills and Abilities: Knowledge of word processing and spreadsheet applications.
Verbal and written communication skills.
Ability to multitask and work cooperatively with others.
Preferred Knowledge, Skills and Abilities: Three years of related work experience in accounting and financial reporting of related work experience in accounting and financial reporting: Salesforce, Expense Tracking, Budget Reconciliation, Cash Flow Management.
Three plus years' experience in office administration: Microsoft Office Suite (Word, Excel, PowerPoint, Smartsheet), Data Entry, Client Communication, Office Organization.
Experience in managing or supporting marketing through social media, e-newsletters, website, e-mail marketing, and other marketing methods.
Excellent customer service skills and the ability to work with others a necessity.
Well-versed in Word, Excel and PowerPoint.
Special Requirements: Applicants with equivalent experience in lieu of a Bachelor's degree may be considered.
One year of the related experience is the equivalent of one college year.
Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience.
