Purpose: Provides complex administrative support to the commissioning department on a mega project. Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets, and other presentation materials. Responds to or routes non-routine or confidential inquiries from external or internal sources with correspondence or other messaging. Provides administrative and logistical support including meeting arrangement, progress tracking, and documentation on large, complex projects. Schedules and coordinates meetings, travel (domestic and international), visas, and other group activities. Has advanced word processing, spreadsheet, and graphics software skills. This work will be performed under general supervision.
Responsibilities: Primary responsibilities will include but are not limited to:
Preparation of project correspondence and transmittals.Utilizing technical writing skills to assist in creating and preparing documents and other technical documents, as well as proofing of technical documents.Formatting technical documents.Scheduling project and client meetings and arrangements, including catering.Scheduling and coordinating travel (domestic and international).Utilizing Microsoft Outlook to schedule meetings.Maintaining SharePoint or Teams sites.Preparation and distribution of project meeting notes.Preparation of client and project presentations.Execution of special projects.Providing scanning, copying, and filing services for project-related information.Prepare move slips and coordinate seating charts.Maintain project roster and distribution lists.Maintaining professional appearance of meeting spaces.What you will bring Technical and Industry Experience: This position requires 7 or more years of experience in providing administrative support.Knowledge and application of company standards.Knowledge and application of office administration procedures.Proficient in the use of Microsoft Word, Excel, PowerPoint, and Outlook.Excellent proofreading and grammar.Ability to communicate effectively, both verbal and written.Ability to maintain confidentiality in all areas.Ability to work in a fast-paced environment with extreme multi-tasking.Ability to prioritize effectively.Ability to accurately develop and format reports.Ability to maintain effective working relationships with teammates, clients, and vendors.Ability to listen and ascertain the needs of leaders, teammates and clients, and proactively approach these needs to meet critical timelines.Ability to find and communicate accurate information.Ability to work flexible hours as needed.Ability to sit, stand or walk for long periods of time.Education – Qualifications, Accreditation, Training: Required: High School Diploma or equivalent is required.Preferred: Degree in Advanced coursework is highly preferred.Moving forward together We want our people to be energized and empowered to drive sustainable impact.
