Job Summary: The Project Coordinator, Strategic Initiatives, provides organizational and administrative support for Centralized Operations and project teams. This role involves coordinating activities related to multiple strategic initiatives, ensuring smooth project execution, timely delivery, and alignment with organizational goals.
Duties/Responsibilities: Administrative Support (60%) Provides administrative support to the Operations Strategic Initiatives and CapEx & Delivery teams, including preparing reports, presentations, and other materials as needed Manages calendars, appointments, and email communication related to strategic initiatives, ensuring efficient time management for the project team Maintains organized records of project files, documents, and correspondence Provide communications support for operations & corporate communications teams as needed (data analysis, managing shared inbox, etc.) Develops and maintains mechanisms to manage and optimize Tenant Improvement terms that are negotiated in new and renewed leases (including tracking of reimbursement) Provides invoice verification and management support for operations/modality service contracts and CBRE/facility maintenance services Meeting & Event Coordination (30%) Coordinates and schedules project-related meetings, including preparing agendas, taking minutes, and ensuring timely follow-up on action items Assists in organizing workshops, presentations, and events related to strategic initiatives, ensuring smooth logistics and effective communication with all participants Communicates with internal and external stakeholders to schedule and coordinate tasks, ensuring alignment across all teams Project Coordination & Support (10%) Supports the Operations Strategic Initiatives team in the coordination and execution of strategic projects by managing timelines, schedules, and deliverables Organizes and maintains detailed project documentation, including project charters, timelines, status reports, and action plans Completes other tasks and projects as assigned Demonstrates the company's values in daily activities Required Knowledge, Skills, and Abilities: Knowledge of and adherence to company policies and protocols. Knowledge of and adherence to HIPAA and safety guidelines. Knowledge of basic level computer skills. Skill in organizing and prioritizing work and following assignments through to completion Skill in written and verbal communication. Skill in analytics and problem-solving skills Ability to work independently and in a team environment Ability to work in a fast-paced environment and meet established deadlines Ability to be flexible in schedule and adaptable to constant change Ability to effectively handle details with accuracy Ability to maintain regular attendance and on-time approval to work as scheduled Ability to deliver high-quality customer service to internal and external customers by communicating with integrity and compassion Ability to remain calm in difficult situations Ability to collaborate with multiple departments Ability to use data to drive decision-making Ability to convey complex subject matter clearly and engagingly Education and Experience: Bachelor's degree in business administration, information technology, or a related field preferred. Minimum of 2 years of experience in operations, healthcare, or a related field.
