USA Properties Fund, Inc is hiring a Property Management Administrative Assistant who will be accountable for the successful delivery and analysis of a comprehensive range of financial reports.
This role will also act as liaison between USA Properties Fund, Inc., (USAPF) and USA Multifamily Management, Inc. (MFM) and their financial and affordable housing affiliates providing each with a premium level of service and accountability as outlined in the various partnership, loan, and other agreements associated with the financing and operation of a portfolio of 85 multi-family communities.
The role includes the responsibility of the functions associated with:

Ensure timely compliance with all financial reporting requirements as outlined in the partnership, loan and other agreements associated with each USA partnership.
Participate in communicating with partnership affiliates; financial institutions; government and housing authority agencies.
Provide analysis on portfolio performance and work with the CFO and the MFM team to identify opportunities for improvement.

JOB DUTIES AND RESPONSIBILITIES: Insurance Administration Collaborate with the USAPF CFO, MFM President and insurance providers in reviewing and confirming Property, Liability and Flood insurance policies are structured as required per each building within each project site in the USA portfolio.
Coordinate with the insurance provider to update Certificates of Insurance as per specific Affiliate requirements.
Assist MFM President in reviewing Incident Reports to determine if escalation is required to the insurance company.
Regulatory Reporting Ensure timely compliance with all financial reporting requirements as outlined in the partnership, loan and affordable housing agreements associated with each USA partnership.
Create Scheduler (auto-generate) reports to minimize manual processing of financial reporting.
Coordinate all written and verbal financial requests from partnership affiliates, financial institutions, and government and housing authority agencies.
Maintains the affiliate reporting contact database Supervise the maintenance of the Affiliate Reporting Database as used and modified by the Accounting and Compliance Assistants.
Update the PM Contacts folder in Outlook and keep all relevant staff apprised of all contact changes with our financial and/or affordable housing affiliates.
Assist with scheduling affiliate property inspections; schedule inspection dates with applicable internal staff, assign, collect, and distribute all inspection pre-documents.
Ensure all internal and external customers have appropriate inspection information.
Provide multiple internal departments working on new developments, re-syndication projects and placed in service needs with data and document requests.
Identify the purpose of the request and determine the best format that meets the specific need of the requestor.
Assist MFM Accounting Department with the following functions: Monthly downloads of bond statements Annual coordination and delivery of Budgets, Audited Financials, Tax Returns and Tax Extensions Annual entry Unit Types on Calculation Assumption Narrative worksheet for preparation of budgets Coordination of TCAC Annual AOC Part II for Staff Accountants Receive Annual Welfare Exemption filings from RCC, save to SharePoint Perform all other duties as determined and directed by management.

Compensation: $58,000 per year

REQUIRED SKILLS, QUALIFICATIONS AND ABILITIES:

Education/Experience

A bachelor's degree is preferred.
A minimum of two years of work experience that closely corresponds to the duties detailed above is required.
Experience in real estate asset management, project management accounting, or broad financial analysis is desired.


Language Skills

Ability to read and interpret documents such as operating, procedural manuals, and safety documents.
Ability to create and write routine reports and correspondence.
Ability to interact/communicate effectively in a professional and pleasant manner with Vendors, Affiliates, Stakeholders, Corporate Shareholders and Company Employees.


Mathematical Skills

Working knowledge of advanced math concepts and the ability to create excel modeling.


Technical Knowledge

Ability to operate proficiently within Microsoft Office Programs such as Excel, Word, Outlook and SharePoint, and a working knowledge of property management software is preferred.


Reasoning Abilities

Ability to apply principles of logical thinking to a variety of practical situations and accurately

follow standardized procedures that may occasionally call for minor deviations.
Must be able to

think rationally beyond a specific set of instructions.
Must be able to work at a fast pace, perform

duties while under pressure and meet deadlines in a timely manner, while remaining professional and courteous.
