With limited supervision, provide a broad range of administrative support to management and the office for Northern CAs Commercial Property Management team.
Previous commercial experience a MUST.

Essential Duties and Responsibilities Understand the significant issues affecting a propertys performance and the respective tenant lease responsibilities.
Develop and implement operational plans and actions that will achieve or surpass cash flow objectives and maximize the asset value while complying with established company objectives.
Maintain personal contact with tenants, vendors and owner representatives to ensure tenant satisfaction, resolving issues in a professional and timely manner and oversee activities to promote solid, reliable relationships with tenants, vendors and the surrounding community.
Assist leasing with prospective tenant space showings.
The Property Manager should be familiar with the provisions of a NNN lease.
Ensure compliance with codes, regulations and governmental agency directives, including environmental compliance.
Evaluate service contract requirements and oversee tenant improvement projects, prepare specifications, obtain/evaluate bids, negotiate and manage vendor contracts and monitor vendor performance through regular inspections.
Respond to after-hours emergencies in person or by phone depending on the severity of the situation.
Lead in-house property management processes and technology solutions, including billing/rent collection, vendor relations/management, work order processes, and Yardi set up and ongoing maintenance.
Manage all aspects of tenant onboarding process and develop strong relationships with existing and future tenants.
Be physically present and visible onsite, frequently meet with tenants, and organize/attend any owner-sponsored tenant social events.
Coordinate subcontractors and vendor management process for HVAC, repairs & maintenance, security, pest control, trash, etc.
Identify and prioritize operational initiatives that can improve quality of operations and decrease costs.
Ensure effective budgeting of expenses and effective operations within budget, while providing proper notification and explanation when circumstances result in variances.
Manage property accounting and analysis and provide monthly and quarterly financials to Accounting in accordance with applicable deadlines.
Coordinate monthly operations reviews and respond to ad-hoc internal and external requests.
Provide regular updates to company leaders on all property management activities and forward-looking strategies to optimize operations.
Support branding and marketing initiatives to establish brand identity and help build and maintain a positive image in the local community.
Work across asset classes including office, residential and retail.
Implement the approved strategic management plan for the asset(s).
Has primary responsibility for the day-to-day operations to assure that all site operations follow established policies and procedures.
Oversee the preparation of the annual budget and management plan, monthly financial reports, variance reports, and CAM reconciliations.
Responsible for reviewing and approving all reports prior to delivering to tenant.
Adhere to the approved budget with primary responsibility for cash flow projections.
Conduct regular site inspections.
Ensure a property inspection program is in place and implemented.
Monitor and enforce the terms of all lease agreements, the billing and payment of rents in compliance with the leases.
Oversee and approve the creation and maintenance of all site specific documentation and initiatives including, but not limited to, tenant handbooks, tenant retention programs, training meetings for tenants, site operations manuals and emergency procedures manuals Primarily responsible for controlling the procurement, contracting, and expenditure processes per policies.
Collaborate with accounting to ensure policies and procedures are adhered to.
Oversee all construction projects and delegate components of the projects, where possible, to ensure accurate and timely completion.
Ensure regulatory compliance and effective management of risk and liability.
Hire, train, and supervise management staff.
Responsible for performance management, salary reviews, goal setting Participate in negotiation of service contracts to achieve highest levels of performance at competitive pricing in compliance policies and procedures.
Ensure team is overseeing vendors and accountability measures are in place.
Ensure processes and procedures are in place for the following (not limited to): certificates of insurance tracking for tenants and vendors, tenant move ins/outs, work order systems and tracking of preventative and proactive work orders, above standard bill backs Job Requirements Skills and Abilities
Excellent time management skills and ability to multi-task and prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills including proven excellent customer service.
Strong organizational and planning skills.
Proficiency in MS Office.
(Microsoft Word proficiency: mail merges, formatting, etc.
Excel proficiency: formatting, formulas, making data look presentable and accurate, etc. )
Working knowledge of a variety of software programs including Yardi, and DocuSign would be beneficial.
Commercial property management experience Extensive experience in analyzing and negotiating commercial lease and/or contract language.
Proven experience in management/evaluation/development/motivation of subordinates Thorough understanding of financial reporting and variance analysis Strong CAM experience, CAM analysis, variance reporting 2-4 years in the property management or construction management industry, or 4+ years of comparable experience Shopping center industry experience is a plus Working Conditions Requires sitting at workstation or desk and driving, walking and viewing property assets.
Repetitive upper body motion, open office environment, soft and hard surface flooring.
Telephone and computer usage required.
Good audio capacity.
Contact with general office equipment, including copiers and computers.
Driving a vehicle to various properties.
