Performs duties in a responsible nature assisting a division head or administrative superior; does related work as required.
This is responsible administrative, technical and difficult clerical work performing duties which help relieve an administrative supervisor of assigned operational duties.
Work is performed under general supervision of an administrator, division head or functional supervisor.
Work products are reviewed through personal conferences, proper preparation, applicable policies, procedures, laws, rules and regulations.
An employee in a position allocated to this class may have considerable contact with the general public, City officials and City employees.
Essential Job Functions Answers all Building Department calls; retrieve voice messages for department.
Greets applicants and visitors in a friendly and professional manner; Provides answers to inquiries to the general public, public officials, City employees or other individuals requesting assistance or public information; Records messages when needed and notifies the appropriate staff member in a timely manner; Perform duties i.e.
response to department email, faxing documents, public records / microfilm and other requests.
Maintains a current record of policies and procedures relating to the Building Department in order to route incoming calls to the proper persons as well as provide consistent information to inquiries; Sorts and distributes incoming mail and receives deliveries; Gives general information in response to public inquiries; Performs several administrative duties for a department such as filing and maintenance of permit applications available in the lobby for the public; Minimum Requirements
Must have a High school diploma or GED.
Plus, two to three (2-3) years experience of an administrative technical or high level clerical nature.
SkillsAbility to make proper decisions independently in the absence of an administrative superior; Ability to deal effectively with the general public and other individual in an office environment; Ability to type from clear copy or rough draft at a minimum of 30 net words per minute; Physical ability to perform duties.
