SageView is currently seeking a full-time Receptionist for our Newport Beach office. The Receptionist position is a highly visible and essential role in the company. This role is designed to support various functions and individuals within our organization, the primary responsibilities of this role include serving as the front desk receptionist, greeting clients, answering phones, varied administrative tasks, assisting with office and marketing/operations duties, and project-based assignments.
Essential Functions: · Answer main office phone and transfer calls.
· Receive and distribute USPS mail to appropriate parties. Send outgoing USPS mail.
· Organize and manage reception area and meeting rooms.
· Daily office supply maintenance/ restocking (coffee pots filled, water stocked in fridge, paper in printers, etc.)
· Order, accept and put away office supplies.
· Assist with in-person office meetings.
· Coordinate schedules.
· Assist with booking of travel arrangements as needed.
· Prepare conference room for meetings including coordinating Audio/ Visual needs.
· Assist guests to a conference room upon arrival and offer beverages.
· Use Microsoft Office to draft documents and reports.
· Handle one-off mailing projects (e.g., lost participant, AMA disclosures, ADV mailing, wealth team mailings, etc.) as needed using Mail Merge to create the mailings.
· Holiday / seasonal / quarterly mailing projects
· Fax management
· Printing/ Binding. Shipping Client Meeting Materials
· Electronic Document filing and recording.
· Updating CRM and other project management systems
· Maintaining Electronic meeting devices: charging, loading materials and checking in/out the devices
· Support other duties as assigned for the Practice Management Team
· Support administrative obligations within the Newport Beach home office. POSITION QUALIFICATIONS Competencies: · Exceptional oral and written communication skills, follow-up and follow-through
· Organized, meticulous, detail-oriented and able to multitask.
· Professional attitude, demeanor, and appearance, as well as being personal, approachable and having a positive attitude.
· Able to work independently with good problem solving and time.
SKILLS & ABILITIES Education: · High School Diploma, College degree preferred
Experience: · 1 year of clerical or administrative experience preferred.
Computer Skills: · Proficient with Windows-based software, including MS Word, Excel, and PowerPoint
Other Physical Requirements: • Ability to sit at a desk for prolonged periods of time.
• Ability to operate a wide range of office technology, such as operating a multi-line telephone system, computer, and fax machine.
• Ability to read documents and reports.
• Ability to answer phones and communicate with callers.
WORK ENVIRONMENT This is a full-time position working in person out of the Newport Beach office. Typical hours are Monday through Friday 8:00am-5:00pm and may fluctuate with business needs, in the direction of or with management approval. Work is often performed under strict deadlines. The noise level in the work environment is usually quiet in office settings and moderate in other situations.
